Job Title: Data and QA Specialist (Hybrid) Sign on Bonus: Sign on Bonus of $600 (Half paid out at 3 months and the other half at 12 months). Salary Range: $28.85 - $31.25/hour; $60,000 - $65,000/annually Benefits: • Sign on Bonus of $600 (Half paid out at 3 months and other half at 12 months). • Paid time off (PTO) starting at 18 days annually. • Medical, Dental, FSA & HSA options • Life, STD, LTD • 401K company match up to 4% • 12 paid company holidays Description (Reason Position Exists): The Data and QA Specialist works with the Compliance team to carry out the department’s vision, strategy, goals, and maintain a current workplan that aligns with the organization’s strategic plan, licensing, legal and funding requirements, and alignment with best practices. The Data and QA Specialist will collaborate with UpNet for developing and maintaining database infrastructure, data quality, and ensuring compliance and reporting needs are met. They will also monitor the 180 Degrees programs to ensure standards and requirements are met in areas of data, database, documentation, reporting needs, licensing requirements, and funding/grant expectations. The Data and QA Specialist partners with departments and programs throughout the 180 Degrees organization to ensure quality services are provided and to assist in the development and implementation of long-term compliance solutions. The Data and QA Specialist is involved in the development, implementation, and monitoring of audit tools, reports, and performance improvement initiatives to help the organization achieve and maintain contractual compliance with licensing agencies. This role ensures program adherence to all federal and state laws, regulations, standards, requirements, and guidance. This position does not have direct reports. This position is 40 hours per week. Duties and Responsibilities include the following. Other duties may be assigned. Quality Assurance & Compliance • Monitors and reviews organizational activities to assess compliance with existing and proposed federal, state, licensor, and grant requirements. Maintains compliance documents and databases and coordinates preparation of documents with other departments as necessary. • Continuously reviews the documentation of services to ensure compliance with federal, state, licensor, and grant requirements, as well as internal policies and procedures. Notify staff in writing of missing documentation, errors, and compliance issues that require completion or correction; follow up and follow through as necessary. • Participates in external compliance inspections performed by state and federal regulatory personnel, as well as licensor or grant personnel. • Participates in the evaluation of, and response to, external review findings and assists in the preparation and submission of responses appropriately; recommend and implement required changes to internal policies and procedures or compliance monitoring. • Assists with the development of new internal policies and procedures; participates in the annual and periodic review of processes, policies, and procedures to ensure alignment with the work being done and compliance with federal, state, licensor, and grant requirements. • Participates in performance improvement activities designed to improve quality and compliance at the programs and organization levels. Data, Reporting, and Power180 Database • Prepares and presents reports based on the results of internal compliance reviews and makes recommendations for improvements. • Reviews, analyzes, and evaluates monthly program reports to identify program-specific and organizational-wide areas of concern and opportunities for improvement. • Responsible for maintaining, tracking, and analyzing datasets and reports used to monitor compliance and quality activities across the programs, such as client satisfaction survey results, critical incident reports, med error reports, etc. • Respond to employees Power180 questions and concerns promptly and with strong customer service. Technical Assistance & Other • Provide support to programs as needed to ensure quality and compliance; such as specialized training, technical assistance, and consultation. • Is a Subject Matter Expert for HIPAA, Confidentiality, internal and external reporting requirements, appropriate policies and procedures, and other quality and compliance topics as needed; this position will participate in New Employee Orientation, presenting on compliance-related topics and documentation best-practices. Other duties as assigned. I will have performed my job well when I: • Review documentation in all applicable databases for quality and compliance accuracy. • Conduct compliance audits across the organization; provide guidance and consultation to program leaders who are participating in audits • Conduct internal audits on a regular cadence to ensure the programs are meeting all compliance-based requirements. • Provide recommendations to improve or mitigate errors with processes, policies, or procedures. • Monitor for activities of fraud, waste, and abuse; take immediate action to make recommendations that mitigate these activities. • Provide recommendations to the Government Grants and Compliance Manager that are actionable and solutions based. • Ensure documentation in the databases is appropriate and accurate. • Provide training to employees and managers as needed • Provide accountability measures to ensure employees and managers understand expectations. • Act as a Subject Matter Expert. • Provide subject matter expertise in the development of compliance-related trainings. • Ensure statutory requirements are captured; provide appropriate feedback. • Provide excellent customer services to our employees. • Respond professionally and in a timely manner to reporting and data requests; training and onboarding requests; and Power180 troubleshooting needs. Qualifications: • Bachelor’s degree in business, behavioral science, healthcare, social work, social services and 2 years’ experience working in compliance or quality improvement. An associates degree and relevant experience can be substituted on a year-for-year basis. • Experience working in compliance or quality improvement in a non-profit or social service setting preferred. • Valid driver’s license and reliable transportation to independently visit program sites and conduct community outreach in the Twin Cities, St. Cloud, and Rochester, and across the state as needed. Essential Competencies: • Working knowledge of HIPAA and Confidentiality, as well as applicable Minnesota statues. • Experience researching, identifying, evaluating, and prioritizing problems and situations, and coordinating appropriate actions or responses. • Excellent oral and written communication skills. • Project management experience or certification is beneficial. • Compliance experience. • Strong data analysis skills; ability to interpret results and present data to a variety of audiences. • Ability to prioritize competing duties, • Strong organizational and interpersonal skills. • Strong attention to detail is a must. • Ability to collaborate with software developers to develop a sound, effective platform for documentation. • Understanding complex systems frameworks • Strong skills in independent reasoning, critical thinking, and decision-making skills. • Skilled with Microsoft Suite, including Outlook, Excel, Word, and PowerPoint. • Experience presenting to groups and individuals.
