Job Summary We are looking for a highly organized and detail-oriented Assistant to provide administrative support to our State Farm agency partners. As an Agency Assistant, you will play a vital role in ensuring the smooth operation of our office, providing exceptional support to our team, and delivering outstanding service to our clients. Key Responsibilities Perform data entry tasks accurately and efficiently, maintaining up-to-date records and ensuring data integrity. Assist in calendar management by scheduling appointments, coordinating meetings, and ensuring seamless communication with our agency partners. Provide support in managing appointment bookings, ensuring that all scheduling conflicts are resolved promptly and efficiently. Utilize Google Suite for document creation, spreadsheets, and presentations, demonstrating proficiency in cloud-based applications. Exhibit strong phone etiquette while answering calls, directing inquiries appropriately, and providing exceptional customer service to our clients. Manage time effectively to prioritize tasks, meet deadlines consistently, and maintain a high level of productivity in a fast-paced environment. Requirements and Qualifications To be successful in this role, you will need to possess the following essential qualifications: Proven experience in a front desk or administrative role, preferably in an insurance or financial services setting. Strong organizational skills with an ability to manage multiple priorities simultaneously, demonstrating excellent time management and problem-solving skills. Proficient in data entry with attention to detail, ensuring accuracy and efficiency in all administrative tasks. Familiarity with calendar management tools and scheduling software, with the ability to learn new systems and applications quickly. Excellent time management skills to ensure efficient workflow, meet deadlines, and maintain a high level of productivity. Ability to type quickly and accurately for documentation purposes, with a high level of proficiency in Microsoft Office or Google Suite applications. Strong phone etiquette and interpersonal communication skills, with the ability to provide exceptional customer service to our clients. Fluency in English and Spanish is required, with excellent written and verbal communication skills. A Property & Casualty License is required, with the ability to maintain licensure and comply with all regulatory requirements. Preferred Qualifications While not essential, the following qualifications are highly desirable: Experience working in a State Farm agency or similar insurance setting, with a strong understanding of industry-specific regulations and requirements. Proficiency in additional languages, with the ability to communicate effectively with diverse client groups.
