Key Responsibilities In this dynamic and challenging role, you will be responsible for a wide range of administrative, secretarial, and clerical duties. Your key responsibilities will include: Performing various types of clerical and receptionist functions, including preparing copies, typing letters, memos, and other documents, and compiling and/or preparing reports Receiving and screening calls and visitors, responding to routine inquiries with standardized information Opening and routing incoming mail, coordinating and preparing mail-outs, and maintaining/updating distribution lists Scheduling patient appointments, arranging interpretation services, and maintaining personal calendars for management personnel Inventorying and ordering office supplies and equipment, and coordinating equipment repair/maintenance Maintaining accurate department files, logs, and records, including admission and census data, invoices, check requests, and time and attendance and payroll information Compiling reports/lists and statistical data, and performing simple calculations and information that is readily available Assisting patients with forms and applications, reviewing for completeness, and making corrections of a routine nature Practicing proper safety techniques in accordance with hospital and departmental policies and procedures, and immediately reporting any mechanical or electrical equipment malfunctions, unsafe conditions, or employee/patient/visitor injury/accident Promoting the continuous quality improvement process in all daily service issues and problem-solving opportunities both department-specific and hospital-wide Maintaining confidentiality with client records and sensitive issues or documents, and communicating regularly with departmental staff and management on a daily basis Essential Qualifications To be successful in this role, you will need to possess the following essential qualifications: One (1) year of clerical/secretarial/customer service experience, or experience may be offset by an Associate's or Bachelor's degree Good communication skills, with the ability to follow detailed instructions Level of proficiency in MS Office (Word, Excel, and PowerPoint), with varying requirements by department Typing requirements vary by department, with a minimum typing speed of 40 words per minute Preferred Qualifications While not essential, the following qualifications are preferred: Post-high school education, with a focus on accounting or business Prior healthcare experience, with a strong understanding of medical terminology and procedures Two (2) years of experience in accounts payable or purchasing, with a demonstrated ability to set priorities and work independently Successful completion of a course in Medical Terminology, depending on the amount of medical transcription required for the assigned area Bilingual - Spanish/English, with the ability to communicate effectively with patients and staff from diverse backgrounds Skills and Competencies To excel in this role, you will need to possess the following skills and competencies: Excellent communication and interpersonal skills, with the ability to work effectively with patients, staff, and management Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple assignments Proficiency in MS Office, with the ability to learn and adapt to new software and systems Attention to detail, with a strong focus on accuracy and quality Ability to maintain confidentiality and handle sensitive information with discretion Career Growth Opportunities and Learning Benefits At blithequark, we are committed to the growth and development of our staff.
