Job Summary The Assistant Account Manager at arenaflex works under the direction of the Account Manager or Senior Account Manager to serve and interact with customers, prepare orders for production, and perform other clerical support tasks. This role is essential to the success of our team, and we are looking for a highly skilled and dedicated individual to fill this position. As an Assistant Account Manager, you will have the opportunity to work closely with our customers, understand their needs, and provide exceptional support to ensure their satisfaction. Key Responsibilities Enter orders with complete job specifications into the core business system, ensuring accuracy and attention to detail. Process and prepare shipping and mailing instructions, ensuring timely and efficient delivery of products. Process and route all proofs and materials supplied by customers, maintaining effective communication and ensuring customer satisfaction. Assist with processing change orders, gathering information for Account Manager or Senior Account Manager, and creating and maintaining customer standing instructions and profiles. Assist with entering specifications for Estimating, ensuring accuracy and attention to detail. Assist with incoming phone calls and e-mails, providing exceptional customer service and support. Take initiative to assist other teams when needed or low on work, demonstrating a willingness to help and support colleagues. Provide desk coverage for the Account Manager and manage their duties when they are out of office, ensuring continuity and minimal disruption to our operations. Maintain an accurate and timely filing system of sample books/issues and master job files, ensuring organization and efficiency. Process customer complaints, providing exceptional customer service and support to resolve issues promptly and professionally. Essential Qualifications To be successful in this role, you will need: A minimum high school diploma or GED, along with some customer service experience. Excellent verbal and written communication skills, with the ability to communicate effectively with customers and colleagues. Excellent organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple projects simultaneously. Strong analytical and problem-solving skills, with the ability to think critically and make informed decisions. Ability to act with integrity, professionalism, and confidentiality, maintaining the highest standards of ethics and conduct. Must possess a capacity and willingness to learn a variety of computer software applications, including order entry and job ticket systems. Proficient with Microsoft Office Suite or related software, with the ability to learn and adapt to new systems and technologies. Preferred Qualifications While not essential, the following qualifications are preferred: Associate’s degree (A.A.) or equivalent from a two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience. Familiarity with Technique Operating System, with the ability to learn and adapt to new systems and technologies. Physical Requirements This role requires: Prolonged periods of sitting at a desk and working on a computer, with the ability to maintain focus and productivity. Must be able to lift 15 pounds at times, with the ability to perform occasional physical tasks. Must be able to access and navigate each department at arenaflex’s facilities, with the ability to move around the office and interact with colleagues. Travel Requirements This role requires minimal travel, with occasional seminars, company meetings, and overnight stays. You will need to be flexible and able to travel as required, with the ability to adapt to changing circumstances and priorities.
