Job Overview In this critical role, you will serve as the primary interface between our Business Unit and assigned customers, directing, coordinating, and exercising authority for planning, organization, control, integration, and completion of projects within your area of responsibility. Your expertise in customer service, contract administration, and project coordination will enable you to provide effective support to our clients, ensuring seamless communication, timely resolution of issues, and high customer satisfaction scores. Key Responsibilities Serve as the primary point of contact for assigned customers, addressing inquiries, resolving issues, and providing timely updates on orders, projects, and other activities. Coordinate project personnel to specific phases or aspects of projects, ensuring effective communication, and collaboration to meet customer needs. Prepare and submit interim and completion program schedules, status reports, and budget reports, maintaining accurate records and ensuring transparency throughout the project lifecycle. Provide exceptional customer service, understanding customer needs, and identifying opportunities to improve processes, products, or services to meet their expectations. Monitor projects for task requests that represent a change in program scope, identifying cost and schedule impacts, and working with the Contracts Manager to negotiate equitable adjustments to the contract. Collaborate with the Contracts & Customer Service Director to service and manage order processing, entry, and resolution of issues, including repair orders, new orders, and customer portal alignment and maintenance. Interact with internal organizations to proactively resolve customer issues, ensuring timely resolution, and minimizing delays or disruptions to our clients' operations. Prepare, review, and submit quotes to customers as required, ensuring accuracy, completeness, and compliance with company policies and procedures. Support Lean process improvement initiatives, including standard work development and maintenance, participating in associated projects, and contributing to the continuous improvement of our processes and services. Provide timely resolution on customer order processing, inquiries, tracking, and reporting, RFQ submittals, short flows, AOG/Spares, A/R disputes, RMA coordination, and processing, ensuring that our customers receive the support they need to succeed. Communicate with outside Sales personnel to ensure awareness of and alignment with arenaflex goals and customer needs, driving business growth, and expanding our customer base. Act as the voice of the customer, driving all functions within the Business Unit to ensure high customer satisfaction and scorecard ratings, and making recommendations to Management on customer opportunities and issues. Schedule and manage cross-functional meetings for customer issue resolution, ensuring that all stakeholders are informed, engaged, and working together to resolve issues promptly and efficiently. Essential Qualifications At least 5-7 years of related experience in customer service, contract administration, or a similar field, with a proven track record of delivering exceptional support to clients. Effective oral and written communication skills, with the ability to articulate complex ideas, negotiate contracts, and resolve conflicts in a professional and courteous manner. Ability to maintain confidentiality and discretion, handling sensitive information, and ensuring that customer data is protected and secure. Experience in Customer Purchase Order Review/Entry and Fulfillment, with a strong understanding of contract administration, and the ability to interpret and apply contract terms and conditions. Strong customer-facing support background, with experience in the day-to-day management of a defined customer account base, and a proven ability to build and maintain strong relationships with clients. Experience in the review and interpretation of Customer Purchase Orders, RFQs, and other requirements flowed through customer contract documents, with a strong understanding of contract law, and the ability to negotiate and administer contracts. Proven team player, with the ability to effectively relate to all levels of the organization, and a strong commitment to collaboration, and teamwork. Self-directed, with the ability to work independently, prioritize tasks, and manage multiple projects simultaneously, meeting deadlines, and delivering results in a fast-paced environment. Ability to meet deadlines, with a strong sense of urgency, and a commitment to delivering high-quality results, even in the face of challenging circumstances or tight timelines. Preferred Qualifications Experience in a similar industry or field, with a strong understanding of the challenges, and opportunities facing our clients, and the ability to apply this knowledge to drive business growth, and expansion. Strong analytical and problem-solving skills, with the ability to analyze complex data, identify trends, and develop creative solutions to customer issues, and business challenges. Experience with Lean process improvement initiatives, with a strong understanding of the principles, and practices of Lean, and the ability to apply this knowledge to drive continuous improvement, and process excellence. Strong leadership skills, with the ability to motivate, and inspire teams, and a proven track record of driving business results, and achieving goals.
