Job Summary The primary responsibility of the Customer Service Representative at arenaflex is to process customer orders generated by account managers, ensuring accurate and efficient facilitation of purchase orders to support a smooth production process. This role is essential to the successful conversion of all relevant reference materials into active production orders, and the ideal candidate will possess excellent communication, organizational, and problem-solving skills. Key Responsibilities Operate and understand the operating system required for quotation and order entry, ensuring accurate and efficient processing of customer orders. Enter orders generated by Account Managers, creating tickets and coordinating with scheduling as necessary. Verify the accuracy of orders over $5000, ensuring attention to detail and adherence to quality standards. Document and arrange releases from inventory, maintaining accurate records and ensuring compliance with company policies. File tickets for completed jobs, maintaining organized and up-to-date records. Demonstrate a thorough understanding of production capabilities and product knowledge, providing excellent customer service and support. Evaluate and verify purchase order correspondence with quotations, collaborating with Account Managers to resolve any discrepancies or questions. Prepare materials for return to customers, ensuring timely and efficient processing. Document Haz-Mat orders, adhering to company policies and regulatory requirements. Order marketing materials, managing internal forms, and maintaining accurate records. Assume Account Manager responsibilities when necessary, including checking emails and voice mails, making relevant decisions, and providing excellent customer service. Collaborate with the estimating department as needed, providing support and ensuring seamless communication. Perform additional tasks and duties as required and delegated by the Director of Sales, demonstrating flexibility and a willingness to support the team. Essential Qualifications To be successful in this role, you will possess the following essential qualifications: High School Graduate or General Education Degree (GED) required, with an Associate's Degree (two-year college or technical school) preferred. 2+ years of experience in customer service, order processing, or a related field, with a strong understanding of production capabilities and product knowledge. Excellent communication, organizational, and problem-solving skills, with the ability to work effectively in a team environment. Proficiency in Microsoft Suite, with the ability to learn and adapt to new software and systems. Strong attention to detail, with the ability to accurately process orders and maintain organized records. Preferred Qualifications While not essential, the following qualifications are preferred: Bronze designation on ACT, demonstrating a strong foundation in customer service and order processing. Experience in a manufacturing or production environment, with a strong understanding of industry-specific regulations and requirements. Certifications or licenses relevant to the industry, demonstrating a commitment to ongoing learning and professional development.
