Job Overview The Data Entry Specialist will play a vital role in providing administrative support to our insurance sales team, ensuring seamless data management, and maintaining the integrity of our digital database. Key Responsibilities Create spreadsheets to track important customer information, ensuring that data is accurate, up-to-date, and easily accessible. Transfer data to our digital database, maintaining data integrity and ensuring that all information is secure and compliant with industry standards. Schedule email blasts and communications, using tools such as HubSpot and Outlook to ensure timely and effective communication with our clients and stakeholders. Organize existing data in spreadsheets, identifying areas for improvement and implementing processes to enhance data management and analysis. Verify outdated data and make any necessary changes to records, ensuring that our database remains accurate and reliable. Search for and investigate information contained in files, using your analytical skills to identify trends, patterns, and insights that can inform our sales and marketing strategies. Input text-based and numerical information from source documents, maintaining a high level of accuracy and attention to detail. Review data for deficiencies or errors, performing data integrity checks to ensure that our database is accurate, complete, and compliant with industry standards. Essential Qualifications To be successful in this role, you will need to possess the following essential qualifications: High school diploma or equivalent required; post-secondary education in a related field (e.g., business administration, data management) an asset. 1-2 years of experience in data entry, administrative support, or a related field, preferably in the insurance industry. Proficiency in Microsoft Office, particularly Excel, and Google Sheets. Familiarity with CRM software, such as HubSpot, and project management tools, such as Asana. Excellent organizational, time management, and communication skills. Ability to work accurately and efficiently in a fast-paced environment, with a high level of attention to detail. Preferred Qualifications While not essential, the following qualifications are preferred: Experience working in the insurance industry, with a strong understanding of insurance products and services. Advanced skills in Excel, including data analysis, pivot tables, and macros. Familiarity with email marketing software and techniques, including email blasts and automation. Experience with data visualization tools, such as Tableau or Power BI. Certification in data management or a related field, such as Certified Data Entry Specialist (CDES) or Certified Administrative Professional (CAP).
