Your primary duties will include: * Coordinating and scheduling meetings, appointments, and social events for senior leaders * Managing travel arrangements, both domestic and international, and making last-minute changes as needed * Planning and executing various events, including step-by-step and off-the-cuff meetings for leaders * Collaborating with internal and external contacts, including financial sponsors and other C-level executives * Managing the day-to-day operations of the executive office, including budgeting and expense tracking * Providing administrative support for new hire onboarding, including ensuring a smooth transition for new employees * Serving as a point of contact for visitors and providing access to the office for external and internal guests * Managing AV equipment and coordinating with the IT Site Lead for meeting room setup * Coordinating TDC responsibility activities, including building a schedule, driving execution, and managing the budget and social/volunteer committees * Representing the organization positively to external stakeholders and partners * Performing other administrative tasks as needed **Requirements** To be successful in this role, you will need: * A Bachelor's degree in a relevant field * At least 3-4 years of experience as an Executive Assistant or Administrative Assistant for senior-level leaders * Excellent organizational, communication, and interpersonal skills * Ability to work independently and as part of a team * Strong attention to detail and ability to prioritize tasks effectively * Proficiency in Google Suite tools, including Google Drive, Gmail, Docs, Sheets, Slides, and Meet * Excellent written and verbal communication skills * High level of discretion and confidentiality when handling sensitive information * Ability to work flexibly and adapt to changing priorities and deadlines * Strong problem-solving skills and ability to think critically **Preferred Qualifications** * Experience working in a fast-paced, dynamic environment * Knowledge of arenaflex's products and services * Familiarity with customer relationship management (CRM) software * Experience with event planning and execution * Certification in executive administration or a related field **What We Offer** As an Executive Assistant at arenaflex, you will enjoy a competitive salary range of $26-$36 per hour, depending on experience.
