Job Summary The Order Entry Coordinator plays a vital role in ensuring the accurate and timely entry of customer service orders into our service software platform. This position requires a high degree of attention to detail, organizational skills, and the ability to work independently in a fast-paced environment. As an Order Entry Coordinator at arenaflex, you will be responsible for verifying the accuracy of service orders, setting up new customer contracts, and assigning service lines to contracts, among other key responsibilities. Key Responsibilities Review approved quotes returned by customers for accuracy, exercising discretion and judgment in assessing their validity. Set up new customer contracts in Service Trade based on approved quotes. Assign service lines to contracts as required. Review repair quotes and ensure jobs are assigned to the appropriate job. Verify customer’s tax status and contract details, ensuring accuracy and compliance with applicable tax regulations. Assign applicable customers' assets as needed for job. Assign customers' labor contract to jobs, abiding by appropriate labor allocation agreements. Collaborate with the sales team to request required documentation as needed. Adhere to standard operating procedures (SOPs) to ensure all data is entered both with consistency and in compliance with approved standard practices. Perform other duties as assigned, demonstrating flexibility and a willingness to learn and grow with the organization. What We Are Looking For To succeed in this role, you will need to possess a combination of education, experience, and skills that align with our organization's goals and values. The ideal candidate will have: Essential Qualifications High School Diploma/GED is required, with an associate degree in business or supply chain being desirable. 3-5 years of office experience, data entry, or customer service, with a strong understanding of accounting processes. Proficient knowledge of Microsoft Office applications, including Excel, Word, and Outlook. Excellent written and spoken English language skills, with the ability to communicate professionally and effectively. Strong analytical and problem-solving skills, with attention to detail and the ability to define problems, collect data, establish facts, and draw valid conclusions. Preferred Qualifications Bachelor’s degree or equivalent related experience, demonstrating a commitment to ongoing learning and professional development. Experience with JD Edwards Enterprise One and Service Trade, or similar software platforms. Experience in a service-related industry, with a strong understanding of customer service principles and practices. Strong organizational skills, with the ability to prioritize and manage multiple competing priorities in a fast-paced environment. Ability and enthusiasm to learn quickly, with a strong desire to grow and develop with the organization.
