Role Overview: Event Coordinator for Technology Summits As Delta Galil embarks on implementing a large technology software program, the company will be hosting a series of Event Summits at its New Jersey office. These summits, occurring every 3 months, will bring together approximately 25 participants from around the globe for a week-long engagement. To ensure the success of these events, Delta Galil is seeking an experienced Part-time Event Coordinator to assist in planning and executing these critical summits. Key Responsibilities: Logistics Coordination: Organize all transportation and accommodation for participants, including to and from the airport, hotel, conference venues, office, restaurants, and other locations. Manage hotel accommodations for all attendees, ensuring a seamless experience. Catering Arrangements: Ensure the availability of tea, coffee, water, and snacks throughout the events. Coordinate lunches and dinners for participants, taking into account dietary requirements and preferences. Participant Support: Address and handle participant issues, including visa arrangements, dietary requirements, communication with transport agencies regarding delays, and creating detailed itineraries for participants with all necessary information. Event Setup Coordination: Collaborate with the Marketing and IT teams to set up conference rooms, ensuring proper signage, nametags, stationery, and universal adapters are available. Create presentation links for sessions and upload them to SharePoint as necessary. Requirements for Success To excel in this role, the ideal candidate will possess: 1 year of experience handling large-scale events for a corporate company, with a proven track record of success. Excellent time-management skills with the ability to work independently and manage multiple tasks simultaneously. Strong communication and problem-solving skills to effectively address participant issues and ensure a smooth event experience. Ability to manage and host groups of people efficiently , with a focus on providing exceptional customer service. Experience in coordinating logistics and accommodations , with a keen eye for detail and a ability to think critically. Comfort working with cross-functional teams , including Marketing, IT, and other departments, to ensure a cohesive event experience. Proficient in managing participant needs and creating detailed event itineraries, with a strong understanding of event planning principles.
