Job Overview We are actively seeking a highly organized and detail-oriented Administrative Assistant to provide essential administrative support to both the Division of Trauma and Injury Prevention (DTIP) and the Division of Chronic Disease, Primary Care, and Rural Health (CDPCRH). This remote-work opportunity will require you to work closely with program administration, state agencies, and various stakeholders to enhance community health initiatives through various administrative duties and special projects. Key Responsibilities Deliver comprehensive administrative support to the DTIP and CDPCRH divisions: Provide administrative assistance to program staff, including preparing reports, managing correspondence, and coordinating travel arrangements. Serve as a liaison between program administration, state agencies, and various stakeholders: Facilitate communication and collaboration among different departments and agencies to ensure effective project implementation. Conduct research and prepare informative reports for supervisory review: Gather and analyze data, and prepare reports to support program decisions and initiatives. Draft and manage correspondence, ensuring effective communication flow: Prepare and disseminate reports, memos, and other documents to stakeholders. Facilitate the timely processing of paperwork through appropriate channels: Ensure that all paperwork is completed accurately and efficiently. Electronically reserve vehicles and meeting spaces as required: Coordinate logistics for meetings and events. Coordinate travel arrangements, including transportation and lodging, while inputting data into relevant systems: Arrange travel and accommodations for program staff. Assist colleagues with expense reporting processes: Support colleagues in preparing and submitting expense reports. Manage onboarding logistics for new hires, including equipment orders and name plates: Coordinate the onboarding process for new employees. Oversee the review and distribution of incoming and outgoing mail: Ensure that all mail is processed accurately and efficiently. Support special projects, including the J1 Visa Waiver program for CDPCRH: Assist with the implementation of special projects and initiatives. Obtain necessary document approvals and maintain administrative functions as needed: Ensure that all necessary approvals are obtained and administrative functions are maintained. Perform additional duties as assigned, including limited travel to service locations: Perform other duties as required by the program. Required Skills Solid knowledge of office administrative functions and principles: Possess a strong understanding of administrative procedures and principles. Proficiency in research techniques and report writing: Have the ability to conduct research and prepare reports. Familiarity with the operations of various departments and agencies: Have knowledge of the operations of different departments and agencies. Ability to learn and effectively utilize agency and state government applications: Be able to learn and use agency and state government applications. Exceptional written and verbal communication skills: Possess strong written and verbal communication skills. Keen attention to detail with strong proofreading capabilities: Have a keen eye for detail and be able to proofread accurately. Excellent organizational skills, with the ability to prioritize and manage multiple tasks: Possess strong organizational skills and be able to prioritize and manage multiple tasks. Proficiency in Microsoft Office Suite (Word, Excel, Publisher, PowerPoint, Outlook): Have proficiency in Microsoft Office Suite. Qualifications High School Diploma or equivalent: Possess a high school diploma or equivalent.
