Job Overview We are looking for a qualified candidate to fill the position of Administrative Support Specialist, providing administrative support to an integrated Adult Detox and Crisis Recovery Unit. This unit is a non-medical 14-bed facility that admits individuals 24 hours a day, 7 days a week, to assist them safely through the process of detoxing from alcohol or other drugs. As an Administrative Support Specialist, you will work closely with the ADU/CRC staff and provide back-up support during high-volume periods for phone screenings, referrals, and other duties as needed. Key Responsibilities Utilize spreadsheets or databases to organize information and produce standard reports, preparing a variety of complex disbursement forms, such as check requests, travel forms, cash sheets, and journal entries, for routing and approval. Compile and maintain reports and financial statements, ensuring accuracy and attention to detail. Greet visitors, maintain, and administer appropriate safety procedures in secured environments, ensuring a safe and welcoming experience for all. Set up accounts, reconcile ledgers, gather data for use by others in preparing budgets, and prepare a wide variety of accounting forms. Reconcile daily receipts or accounts receivable/payable, identify discrepancies, and make corrections, ensuring financial accuracy and compliance. Verify requests for goods and services against contracts and funding sources, order goods or services, and follow up on/resolve discrepancies, ensuring timely and efficient delivery. Establish, modify, and maintain a system for tracking the progress of work that is the responsibility of senior management, providing training and support to new employees as needed. Schedule and cancel appointments, maintain calendars, schedule rooms for classes, meetings, and conferences, and coordinate audio-visual and training equipment, ensuring seamless operational coordination. Conduct tasks associated with payroll processing, such as verifying timesheets, researching and resolving payroll discrepancies, completing and verifying data entry, and distributing paychecks, providing exceptional support to staff and management. Essential Qualifications To be successful in this role, you will need: A high school diploma or equivalent and two years of administrative support experience. An Associate's Degree in Business Administration or a related field is preferred, although experience can substitute for education, and education can substitute for experience. Excellent communication, organizational, and time management skills, with the ability to work independently and as part of a team. Proficiency in multiple software applications, including spreadsheets, databases, and word processing, with the ability to learn new systems and technologies quickly. Strong attention to detail, analytical, and problem-solving skills, with the ability to identify discrepancies and make corrections. Preferred Qualifications While not essential, the following qualifications are highly desirable: Previous experience working in an administrative support role, preferably in a healthcare or social services setting. Knowledge of accounting principles and practices, with experience in financial reporting and budgeting. Experience with payroll processing and data management systems, with the ability to provide training and support to new users. Strong customer service skills, with the ability to provide exceptional support to staff, management, and external stakeholders.
