Job Overview The Remote Data Entry and Reconciliation Specialist will play a critical role in our investment operations team, responsible for performing regular reconciliation, trade, and transfer activities for various investments. The successful candidate will be tasked with processing exchange deal purchases, identifying and resolving discrepancies between arenaflex and fund companies or transfer agents, and ensuring the accurate processing of corporate action events, settlements, and reconciliations. Key Responsibilities Process exchange deal purchases in client profiles and identify/solve discrepancies between arenaflex and fund companies or transfer agents Perform reconciliation and settlement of transfer tasks, as well as processing and reconciliation of dividend tasks Conduct research on complex/escalated issues and perform testing/validation of new technology enhancements and provider improvements Accomplish tasks in investing, dividends, transfers, reconciliation, and corporate actions that directly impact client/advisor accounts Collaborate with retail and institutional service teams through email, phone, Slack, Outlook, and Salesforce Represent arenaflex in daily relationships with fund providers, transfer brokers, converse agencies, and other external business partners Tasks and Deliverables Study and assessment of membership agreements or transfer requests Client/advisor level exemptions and regulatory responsibilities (e.g., 2340 and 15C3-3) Reconciliation of field, returns, and transfer damages Reconciliation around BOS and fund companies Assessment and analysis of correct tax programming and corrections of income tax coding Troubleshooting internal/external system enhancements or issues Source of breaks between arenaflex, the fund, and other external partners Providing process or technology solution options to management Remediating transfer issues with the fund or opposite agency Client or organization partner service, including answering queries regarding fund-specific requirements/eligibility Delivering actions on substitute investment transmissions to accelerate client requests or remediate not neat issues Quick and accurate conclusion of customer trading and dividend requests Essential Qualifications To be successful in this role, you will need to possess the following essential qualifications: Strong analytical and problem-solving skills, with attention to detail and ability to work in a fast-paced environment Excellent communication and interpersonal skills, with the ability to collaborate with internal and external stakeholders Proficiency in Microsoft Office, particularly Excel, and experience with CRM systems such as Salesforce Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines Ability to work independently and as part of a team, with a strong commitment to delivering high-quality results Preferred Qualifications In addition to the essential qualifications, the following preferred qualifications will be considered an asset: Experience in investment operations, data entry, or a related field Knowledge of financial regulations and industry standards (e.g., 2340 and 15C3-3) Familiarity with trading platforms, transfer agents, and fund companies Experience with process improvement and technology enhancements Strong understanding of tax programming and income tax coding Skills and Competencies To excel in this role, you will need to possess the following skills and competencies: Strong analytical and problem-solving skills, with attention to detail and ability to work in a fast-paced environment Excellent communication and interpersonal skills, with the ability to collaborate with internal and external stakeholders Proficiency in Microsoft Office, particularly Excel, and experience with CRM systems such as Salesforce Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines Ability to work independently and as part of a team, with a strong commitment to delivering high-quality results Adaptability and flexibility, with the ability to learn new systems and processes quickly Strong attention to detail, with a focus on accuracy and quality Career Growth Opportunities and Learning Benefits At arenaflex, we are committed to providing our employees with opportunities for growth and development.
