Job Summary We are seeking an experienced and highly skilled Remote Part-Time Administrative Assistant to join our team. As an ambassador of our practice, you will serve as a liaison to clients, internal and external referring physicians, psychologists, psychiatrists, and others. Your primary responsibilities will include providing superior customer service, managing communication, scheduling meetings, and supporting our onsite management team on HR functions. Key Responsibilities Provide Stellar Customer Service: Respond to client inquiries via telephone and email, and accommodate referral requests in a professional and courteous manner. Support Office Staff and Executives: Assist with general operational tasks, including calendar and schedule maintenance, billing, and electronic database management. Manage Communication: Coordinate the flow of information in and out of the office, ensuring seamless communication with clients, staff, and external partners. Schedule Meetings and Events: Plan and coordinate meetings, presentations, and other office-related events, ensuring timely and efficient execution. Answer Phones and Emails: Respond to incoming calls and emails in a professional and courteous manner, providing accurate and timely information to clients and stakeholders. Support HR Functions: Collaborate with the onsite management team to ensure effective HR processes, including recruitment, onboarding, and employee development. Essential Qualifications To be successful in this role, you will need to possess the following essential qualifications: High School Diploma or G.E.D. Equivalent: A minimum of a high school diploma or equivalent is required. Administrative Experience: A minimum of two years of secretarial, back office/front office experience in a physician's/psychologist/psychiatrist office or customer service role is required. Excellent Interpersonal Skills: Outstanding interpersonal skills with a commitment to customer service are essential. Healthcare Experience: Healthcare experience, particularly in a mental health setting, is preferred. Medical Terminology: Completion of a medical terminology course, particularly in psychology terminology, is preferred. Computer Skills: Advanced proficiency in Microsoft Word and Excel is required, as well as strong computer experience. Organizational and Analytical Skills: Excellent organizational, analytical, and problem-solving skills are essential. Motivation and Independence: Highly motivated and able to work independently, prioritizing workload and managing multiple tasks. Preferred Qualifications In addition to the essential qualifications, the following preferred qualifications would be beneficial: BA/BS Degree: A bachelor's degree in a related field, such as business administration or healthcare management. Experience with Electronic Health Records (EHRs): Familiarity with EHR systems and experience with data entry and management. Knowledge of HIPAA and Confidentiality: Understanding of HIPAA regulations and the importance of confidentiality in a healthcare setting.
