Primary Duties And Responsibilities Provide administrative support to faculty, staff and all Staff Services Department. Perform switchboard duties. Answer all incoming and internal campus telephone calls as quickly as possible, using electronic switchboard, exercise logic to minimize transfer. Assist callers with information, hours, directions and events. Support staff with outgoing calls. Report phone issues to Telecommunications Manager. Maintain phone directory, receive and update room numbers, extensions numbers, job titles, etc. Report errors in listings to Telecommunications Manager and/or Human Resources Department for correction. Communicate updates to staff and faculty. Process multiple forms of data to produce final printed or electronic file. Receive and send work requests via email, intercampus mail or fax when requested. Use transcription equipment; process recorded data and information into final format. Manage requests and create stationary items (business cards, department letterhead and envelope), and submit to Print Center for print. Assist clients with requests at the Service counter. Act as resource persons for questions, problems and troubleshooting. Provide information and guidance to staff and students regarding procedures, services available, etc. and make proper referrals and recommendations. Maintain equipment and work area, notify supervisor in the event of equipment malfunctions, etc. to ensure work order forms and supplies are available to perform tasks. Answer and process service desk calls for the College-wide fleet copier and printer program. Perform troubleshooting assistance and training support to minimize downtime and quick issue resolution. Process and track print supply and paper orders. Assist in preparation of internal chargeback for services. Maintain College Fleet Vehicle program. Process requisitions, schedule trips, report vehicle related issues and maintain mileage records for billing purposes. Prepare trip and emergency key packets. Work closely with other Staff Services to provide prompt, efficient and reliable service for clients. Assist with training of new staff. Other related duties as assigned. Qualifications Education High school diploma is required. Certificate in Office Technology Systems or equivalent is preferred. Experience One to two (1-2) years in business or office environment serving multiple customers is required. Proficiency in Microsoft Office applications and Adobe PDF is required. Ability to accurately read, record and check written and numerical data is required. Ability to learn software programs as needed is required. Must be able to adapt to performing repetitive activities. 45-50 words per minute typing speed is required. Excellent customer service skills are required. Three to five (3-5) years' experience as indicated above in a large business or educational environment serving multiple customers with considerable customer service experience is preferred. Working Conditions Telephone, computer, printers, various types of multifunctional equipment, fax, scanner, calculator, electronic switchboard, transcription equipment, and miscellaneous finishing equipment. This position requires a background check and drug screen. Hybrid Remote Eligible: Yes - based on the needs of the department for office coverage, as well as individual performance, after a 6-month probationary period has been completed Hours: Monday through Friday 9:30 AM to 6:00 PM, subject to change depending on department needs. Hiring Range 4 Hourly/Starting salary beginning at $17.59/hourly, based on experience Competitive starting pay is dependent on education and experience.
