Job Title: Scheduling & Care Coordination Specialist Location: Fully Remote Employment Type: Full-Time Position Overview: We are seeking a highly organized and detail-oriented Scheduling & Care Coordination Specialist to manage clinician and client schedules, facilitate seamless care coordination, and oversee key administrative and front-end billing tasks. The ideal candidate is proactive, professional, and comfortable handling multiple responsibilities in a fast-paced environment, especially in a healthcare setting. Key Responsibilities: Scheduling Management Develop and maintain accurate schedules for clinicians and clients Ensure appropriate client-to-clinician ratios Serve as the primary point of contact for scheduling inquiries from clients and staff Assessments Coordination Schedule assessments and reassessments in a timely and organized manner Care Coordination Coordinate care across multiple disciplines Arrange substitute clinicians when needed to ensure uninterrupted services Client & Staff Communication Answer incoming calls and respond to inquiries with professionalism and urgency Maintain consistent and clear communication via phone and email with families and staff Record & Document Management Maintain and audit client records for accuracy and compliance Ensure timely documentation and updates in relevant systems Reception Oversight Oversee receptionist functions, including managing calls, scheduling appointments, and addressing inquiries Front-End Billing & Authorization Management Verify insurance benefits and monitor ongoing eligibility Track changes in coverage and authorization status Manage patient record reviews, collect client payments, and maintain up-to-date authorization tracking Requirements Proven experience in scheduling, administrative support, or healthcare coordination Excellent communication and interpersonal skills Strong organizational and multitasking abilities Proficiency in relevant software tools (Google Drive, CentralReach, Monday.com, Excel) Prior experience in a healthcare or therapy-based setting is a plus Originally posted on Himalayas
