Membership and Sales Coordinator

The Membership and Sales Coordinator plays a pivotal role in the success of the museum’s membership program and related sales initiatives, working closely with the Membership and Sales Manager. This position is responsible for ensuring high-quality customer service across the Membership and Sales team, while also supporting Visitor Services staff in delivering outstanding guest experience. In addition to managing key member touchpoints—such as print collateral, email communications, and member and sales events, the coordinator ensures accurate, timely data entry in the museum’s point-of-sale (Galaxy) and CRM (Salesforce) systems in collaboration with the Membership, Sales, and Visitor Services teams. This role is hybrid eligible with a minimum of 3 days in office. PAY RATE: $24.00 per hour CLASSIFICATION: Full-time; Non-exempt, Hourly REPORTS TO: Membership & Sales Manager ESSENTIAL FUNCTIONS Member Experience & Community Engagement • Lead the delivery of a positive, inclusive, and responsive membership experience. • Plan and coordinate member events, such as Member Nights, including partnerships, programming, raffles, and logistics. • Assist in the creation of key member touchpoints: print materials, email communications (welcome series, newsletters), and surveys. • Support Visitor Services and Museum Experience staff in delivering excellent service to members and guests. • Collaborate with Philanthropy to support Board and Donor memberships. Sales Strategy & Communications • Assist in executing sales initiatives across membership, field trips, and other museum products. • Contribute to the creation and evaluation of sales plans, promotions, and income/expense budgets. • Distribute member-facing communications and promotional materials. • Ensure consistent and effective messaging through email platforms and print pieces. Systems & Data Oversight • Ensure accurate and timely entry of data into Galaxy (POS) and Salesforce (CRM) systems. • Maintain data cleanliness, reconciliation, and workflow accuracy across platforms. • Troubleshoot systems issues and coordinate with IT on testing and improvements. • Make recommendations to refine processes to improve operational efficiency. Team Leadership & Cross-Functional Support • Supervise Membership and Sales Assistants, Interns, and Volunteers. • Oversee team scheduling and payroll coordination. • Provide ongoing coaching, training and support for staff in customer service, sales, and system/process use. • Act as a liaison between Membership & Sales and Visitor Services to ensure smooth communication and collaboration. • Participate in cross-departmental projects and strategy teams. MINIMUM QUALIFICATIONS (please highlight the following in resume or cover letter) • At least 2 years of experience in customer service, sales or membership programs. • 1 year of administrative support. • Experience in a leadership role and collaborating with others in leadership. • Prior experience supervising staff, interns, or volunteers. • Prior experience using CRM and POS systems (e.g., Salesforce, Galaxy, or similar). • Availability to work occasional evenings and weekends for member and sales events. PREFERRED QUALIFICATIONS • Experience in a museum, nonprofit, or membership-based organization. • Experience managing data entry and maintaining accuracy in digital systems. • Proficient with Microsoft Office (Outlook, Word, Excel).
