Office / Project Manager (Remote) Industry: Architecture & Engineering Position Overview: We are Evolv Northwest – A small, growing design firm that covers a wide area geographically. We currently have projects in the works from Nashville (Tennessee) to Nome (Alaska). We are looking for that special person to provide a wide array of support to allow our team to do what they do best: Design things. We are seeking a highly organized and motivated Office / Project Manager to support our architecture and engineering practice through efficient management of business operations and project workflows. The ideal candidate will have experience in contracts administration, bookkeeping, marketing and proposal writing, project coordination, building permitting, and general HR functions. This remote position requires a proactive individual who thrives in a collaborative design environment, manages competing priorities efficiently, and can ensure smooth coordination among leadership, clients, consultants, and permitting agencies. Key Responsibilities Office & Project Management • Oversee daily administrative and operational activities for a remote design firm. • Coordinate project schedules, deliverables, and budgets, ensuring alignment between architects, engineers, and clients. • Maintain organized digital filing systems for project and business records. • Support leadership in managing internal workflows, staff scheduling, and resource allocation. Contracts & Bookkeeping • Prepare, review, and manage client contracts, consultant agreements, subcontracts, and change orders. • Maintain up-to-date contract logs and ensure compliance with contractual and regulatory requirements. • Support bookkeeping tasks, including invoicing, expense tracking, and coordination with accounting. • Assist with budget tracking and generation of monthly financial summaries. Marketing & Proposal Writing • Develop and refine marketing materials, project sheets, and qualifications packages for the firm. • Lead the preparation of RFQ/RFP responses and proposal submissions for architecture and engineering projects. • Conduct research on potential clients, projects, and partnerships. • Manage firm’s website updates, social media presence, and online profiles to ensure consistent branding. Project Coordination & Permitting • Coordinate building permit applications and related documentation for municipal review. • Track submissions, responses, and approvals to ensure timely project progress. • Liaise with architects, engineers, consultants, and permitting agencies throughout the approval process. • Support project managers in maintaining project documentation and status reports. Human Resources & General Administration • Assist with recruitment, onboarding, and HR record management for technical and administrative staff. • Maintain compliance with employment policies and local labor regulations. • Support staff scheduling, performance tracking, and coordination of team communications. • Manage vendor relationships and assist leadership with administrative tasks as needed. Qualifications • Bachelor’s degree in Business Administration, Architecture, Engineering, or a related field preferred. • 3–5 years of experience in office or project management within the architecture, engineering, or construction (AEC) industry. • Strong understanding of contracts, bookkeeping, and human resources practices. • Excellent writing and editing skills, with proven experience preparing proposals and marketing materials. • Proficiency with Microsoft Office Suite, Adobe Creative Suite, and project management software, Quickbooks • Familiarity with permitting processes and A/E project documentation. • Highly organized, detail-oriented, and effective in remote work environments.
