Experior Financial Group Inc. is seeking a highly motivated Bilingual Administrative Assistant who excels in both collaborative and independent settings. The role involves providing administrative support, maintaining records, facilitating communication between clients and agents, and enhancing administrative workflows in a dynamic work environment. Responsibilities • Provide administrative support ensuring smooth daily operations and effective coordination. • Maintain, update, and organize records and documentation, including client files, agent applications, and licensing information, in accordance with company and regulatory standards. • Review, process, and verify the accuracy and completeness of client transfer forms, licensing documents, and contracting applications to ensure compliance with internal policies and insurance carrier requirements. • Act as a central point of communication between clients, agents, insurance providers, and internal teams, facilitating timely responses and clear information exchange. • Assist with the collection, entry, and management of operational data, ensuring accuracy and confidentiality. • Respond to a variety of administrative inquiries via phone, tickets and email in a professional and timely manner, escalating complex issues as needed and ensuring consistent follow-through. • Preparing documentation, coordinating communications, and ensuring all materials are submitted and processed correctly. • Identify and recommend process improvements to enhance administrative workflows, increase departmental efficiency, and support scalable operations. • Stay up to date with internal procedures, insurance carrier guidelines, and compliance requirements to ensure accuracy in processing and communications. • Perform a variety of general administrative tasks, including file management, data entry, report preparation, scheduling assistance, and other duties as assigned by your manager. Skills • Prior experience in office administration is required. • Professional proficiency in Spanish and English is required. • Strong organizational skills with the ability to manage multiple priorities and meet tight deadlines. • High attention to detail and accuracy in reviewing and processing documentation. • Excellent written and verbal communication skills. • Friendly and professional demeanor with the ability to explain information clearly. • Technically proficient with Microsoft Office (especially Excel) and a quick learner of new systems and tools. • Reliable, proactive, and comfortable working independently or as part of a team. • Demonstrates accountability, ownership of responsibilities, and openness to feedback. • Must reside and be authorized to work in the USA. • Experience in the insurance industry, with an IMO or insurance carrier, is a strong asset.
