Reporting & Revenue Cycle Analyst – SimplePractice - Contract to Hire

We are a growing psychotherapy group practice seeking a detail-oriented and analytically skilled contractor to own our reporting, compliance tracking, and performance dashboards using SimplePractice data. This role is focused on data accuracy, proactive monitoring, and clear executive-level reporting that leadership can rely on to make operational and financial decisions. This is not a general virtual assistant role. We are looking for someone with demonstrated experience in analytics, healthcare reporting, and systematized data tracking who can take ownership of these systems and continuously improve them over time. You will serve as the primary owner of our reporting infrastructure and be responsible for its accuracy, consistency, and ongoing improvement. PRIMARY RESPONSIBILITIES: 1. Run and maintain routine SimplePractice reports related to billing, caseload, documentation, and clinical operations 2. Track insurance aging, unpaid claims, and outstanding balances with clear follow-up logs 3. Monitor clinician caseload minimums and productivity metrics 4. Maintain compliance tracking for documentation timelines and clinical notes 5. Proactively notify leadership of compliance or performance issues, anomalies, or emerging risks 6. Create and deliver structured weekly, monthly, and quarterly management reports 7. Design, maintain, and refine a Looker Studio dashboard with real-time operational metrics KEY REPORTING AREAS: 1. Revenue cycle tracking and aging analysis 2. Caseload minimum monitoring 3. Documentation compliance and late note monitoring 4. Consult-through-intake conversion tracking 5. KAP session tracking 6. Clinician performance analytics 7. HIPAA and internal compliance reporting WHAT SUCCESS LOOKS LIKE IN THIS ROLE: 1. Reports are delivered on time without reminders 2.Leadership trusts data without double-checking 3. Revenue and compliance risks and issues are flagged early 4. Systems improve in efficiency over time REQUIRED EXPERIENCE AND SKILLS: 1. Demonstrated experience running and interpreting reports in SimplePractice or comparable healthcare EHR systems 2. Strong analytical skills with ability to identify trends, risks, and anomalies in operational and financial data 3. Advanced proficiency in Google Sheets, including structured data management and reporting logic 4.. Experience building and maintaining dashboards in Looker Studio 5. Healthcare or behavioral health data experience 6. Familiarity with clinical documentation and compliance workflows 7. High attention to detail and data accuracy 8. Ability to handle PHI in strict compliance with HIPAA and internal protocols 9. Strong written and spoken English fluency is required. This role involves creating leadership-facing reports and requires communicating financial and compliance risks clearly and accurately. 10. Ability to work independently and manage recurring deliverables without close supervision PREFERRED SKILLS: 1. Prior experience supporting a multi-clinician therapy or healthcare practice 2. Familiarity with revenue cycle workflows and claims aging management 3. Experience monitoring clinician productivity or caseload minimums 4. Experience improving or streamlining reporting workflows over time HIPAA AND DATA PRIVACY: Experience working with protected health information in HIPAA-compliant environments is strongly preferred. The selected candidate must demonstrate understanding of HIPAA principles and agree to follow all confidentiality and data privacy standards required by our practice. The candidate must be willing to sign a Business Associate Agreement and complete required HIPAA and confidentiality training prior to accessing any systems containing protected health information. DATA SECURITY AND SYSTEM REQUIREMENTS All work must be performed within our Google Workspace environment and approved HIPAA-compliant systems only. Protected Health Information may not be stored, processed, or transferred to any personal devices, third-party tools, or non-HIPAA-compliant platforms under any circumstances. The contractor must agree to: 1. Work exclusively within our designated Google Workspace and approved systems 2.Not upload, transfer, or duplicate PHI into any external software, storage, or automation tools without written approval 3. Follow all internal data security and access protocols 4. Maintain strict confidentiality at all times 5. Any violation of these requirements will result in immediate termination of the contract. EXPECTED DELIVERABLES: 1. Weekly operational report 2. Monthly performance report 3. Quarterly compliance report 4. Creation of Looker Studio Dashboard 5. Maintained Looker Studio Dashboard 6. Ongoing data integrity and monitoring ESTIMATED TIME COMMITMENT: 10-12 hours per week on average. The initial setup and system design phase may require additional time during the first 4–6 weeks.
