Support Services Coordinator (County Classification: Secretary I/II) - Full-time

About the Department The County of San Luis Obispo Health Agency is currently recruiting for a full-time Support Services Coordinator (County Classification: Secretary I/II) to join the Health Agency Facilities team. Within the Health Agency’s Support Services organization, this position is responsible for providing support to the Health Agency Executive Leadership Team by managing phone lines, scheduling meetings, managing calendars, taking meeting minutes, and providing administrative support as needed. In addition to administrative responsibilities, the position assists with reviewing and monitoring contracts and invoices for general administrative and facilities vendors, coordinates with vendors to place orders, and tracks assets and supplies. Examples of duties include: • Performing audits of vendor expenditure documents and invoices related to facilities and administrative services. • Providing facilities coordination and monitoring contracts for service providers, vendors, and co-located partners. • Preparing contract monitoring summaries, tracking insurance requirements and coordinating fiscal reports. • Acting as the facilities liaison between the Health Agency and vendors, assisting with maintenance and service needs, placing work orders, and scheduling vendors for site repairs, maintenance, and equipment support. • Auditing and maintaining the Health Agency facilities matrix. • Coordinating and disseminating safety communications between the Health Agency campus and co-located vendors. • Tracking assets and assisting with mobile phone management, telecommunications, and general office equipment support. Position Duties Minimum Qualifications A combination of education, training, and experience resulting in the required knowledge, skills, and abilities. An example of qualifying education and experience includes: Secretary I or II: Graduation from high school or possession of a G.E.D. certificate. Secretary I: In addition, Either A: Three years of progressively responsible general clerical experience; OR B: One year of experience in a journey-level secretarial position. Secretary II: In addition, Either A: Five years of progressively responsible general clerical experience; OR B: Three years of experience in a journey-level secretarial position.
