Talent & Operations Assistant for Hiring, Candidate Management, and Onboarding

We run a growing agency that works with a network of freelancers—many of whom are in technical roles such as software development, digital marketing, automation, data work, and technical operations. As we scale, we need support managing our hiring pipeline, organizing candidate data, coordinating interviews, and ensuring smooth onboarding for new team members. We’re looking for a reliable, highly organized Talent & Operations Assistant who is comfortable helping us hire technical and non-technical freelancers. What You’ll Do 1. Hiring Support & Job Post Creation Meet with me and team members to gather role requirements—especially for technical roles. Draft clear, accurate job posts for roles such as developers, engineers, tech specialists, and general freelancers. Post jobs on Upwork and other platforms. Monitor and filter applications based on technical and soft-skill criteria. 2. Technical Candidate Sourcing & Screening Find and shortlist candidates with relevant technical expertise (e.g.,Hubspot, APIs, automation tools, Salesforce, integrations, web development, etc.). Review candidate profiles for technical alignment and past work quality. Prepare easy-to-review candidate summaries for our team. Maintain consistent, professional communication with candidates. 3. Candidate Tracking & Record-Keeping (Notion) Use and update our Notion-based candidate tracking system. Maintain organized pipelines of current applicants, past candidates, and potential future hires. Keep detailed records, status updates, and notes to ensure our team always knows where things stand Ensure strong data integrity—every candidate accounted for, every step documented. 4. Interview Coordination & Communication Schedule interviews with candidates and our team members. Manage calendars, reminders, and follow-ups. Provide a smooth, friendly candidate experience from start to finish. 5. Onboarding Support (Preferred) Assist with onboarding new technical and non-technical hires. Manage onboarding SOPs, workflows, and documentation. Ensure new hires get access, instructions, and expectations clearly and on time. Maintain and update onboarding systems inside Notion. Who We’re Looking For Experience in technical hiring or recruiting (even if informal). Strong understanding of common technical skills/roles (no need to be an engineer, but you should be able to recognize good technical candidates). Excellent communication—clear, proactive, and professional. Highly organized, reliable, and detail-oriented. Comfortable managing multiple roles and pipelines at once. Familiar with Notion (or quick learner). Bonus: Experience with SOPs, onboarding systems, operations management, or ATS tools. Apply tot his job
