Virtual Assistant for Ultra-High Net Worth Executives (Full-Time, EST Hours)

We are seeking a Virtual Administrative Assistant to provide high-level support to the CEO and Chief Administrative Officer (CAO) of an ultra-high-net-worth group of companies. This role requires a sharp, detail-oriented, and proactive professional who thrives in a fast-paced environment and can manage multiple priorities across different time zones. The ideal candidate is pleasant to work with, dependable, and brings positive energy while ensuring tasks are executed with accuracy and discretion. Key Responsibilities Manage complex and busy calendars, coordinating meetings and schedules across multiple time zones. Provide daily administrative support to the CEO and CAO, handling ad hoc requests with efficiency. Book and coordinate domestic and international travel, including flights, accommodations, and ground transportation. Draft, review, and organize documents, presentations, and reports using MS Office Suite. Handle correspondence, follow-ups, and reminders to ensure all deadlines and commitments are met. Support project management activities and assist with task tracking. Liaise with internal and external stakeholders, including ultra-high-net-worth investors, vendors, and business partners. Perform general administrative tasks such as data entry, document management, and filing. Provide flexible availability during U.S. business hours and respond promptly to urgent requests. Required Qualifications Proven experience as an Administrative or Executive Assistant, preferably in a fast-paced or high-profile environment. Strong organizational skills with excellent attention to detail and follow-through. Professional, friendly demeanor with strong interpersonal and communication skills (verbal and written). Ability to handle sensitive information with discretion. Highly responsible, proactive, and able to work independently. Skilled at multitasking, prioritizing, and adapting quickly to new processes. Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook). Real estate industry experience a plus. Strong business acumen with the ability to understand executive priorities and operational alignment. Familiarity with project management platforms (e.g., Microsoft Planner, Asana, ChatGPT, etc.).
