Virtual Assistant – U.S. Real Estate Research (Owner Mailing Address Database)
We are seeking a highly detail-oriented Virtual Assistant with strong U.S. real estate research skills to compile accurate, publicly available mailing addresses for property owners across the United States. This project requires experience with County Property Appraiser records, Secretary of State business filings, and recorded deed/mortgage documents. Accuracy and clear documentation are essential. Project Objective: Build a verified database of owner mailing addresses for commercial property owners (individuals and entities) using public records and reputable sources. All findings must be documented in a shared spreadsheet with links and notes. Scope of Work: I. Spreadsheet Tracking You will maintain a structured Google Sheet with fields including: Property Name Property Address County Parcel ID Property Owner (Entity or Individual) Owner Mailing Address (from County Appraiser, if available) Registered Agent (if applicable) Registered Agent Address Entity Principal Office Address (Secretary of State) Source Links (URLs copied) Notes (PO Box, multiple parcels, entity complexity, etc.) Date Completed VA Initials Important: This project is focused on mailing addresses listed in public records (tax mailing, entity mailing, or recorded document addresses). II. Research Tasks County Property Appraiser Search For each property: Identify the correct county Search property records by address, Parcel ID, or owner/entity name Collect and document: Owner name (individual or LLC/entity) Parcel ID Mailing address shown on county records (if available) Direct URL source link Goal: Identify the most reliable mailing address shown in public property records. Secretary of State (Entity Lookup) For LLC/corporate owners, gather: Registered Agent + address Managers/Members (if publicly listed) Principal office address Mailing address (if shown) Entity filing source link Deed & Mortgage Research (County Clerk/Recorder) Search recorded documents such as: Warranty deeds / Special warranty deeds Mortgages / Assignments (when relevant) Capture: Grantee/Buyer name Mailing address shown in the document (if applicable) Recording reference (instrument # / book & page, or direct link when available) Optional Cross-Verification Tools (If Access Provided) If we provide login credentials, you may use commercial platforms to cross-check ownership and mailing address details, such as Reonomy, LandVision, or CoStar. These are used only as support—primary sources should remain public records whenever possible. III. Quality Control Standards Before marking any property “Complete,” the VA must ensure: Mailing address is supported by at least two public sources when possible Source links are saved Address formatting is consistent and accurate Notes include any limitations (example: entity privacy, missing mailing data, PO Box only, etc.) IV.
