Executive Secretary (Hybrid) - Ophthalmology

About the position Provides administrative/secretarial support to a position such as Assistant Dean or Associate Dean. Responds to questions/inquiries according to pre-established policy and procedure. Responsibilities • Coordinates programs such as lecture series, campus tours, retreats, special fairs, etc. • Schedules and maintains appointment, lecture and meeting schedules. • Maintains confidential administrative and correspondence files. • Prepares correspondence, material for meetings and presentations, takes minutes and transcribes material as requested. • Coordinates travel arrangements including lodging, visas, passports, expense reports, reimbursements and honoraria. • Answers phone, takes messages and screens calls providing information in accordance with organizational policy. • Replies to mail by drafting memos, letters, correspondence, etc. • Assists with grant/report preparation and presentation. • Assists secretarial staff during vacations/illnesses. • Assist with coordination and reports for ROP arrangements • Maintains divisional calendars and call schedules • Other office duties as required Requirements • High school diploma or equivalent high school certification or combination of education and/or experience. • Secretarial (3 Years), College Or Secretarial Training (2 Years) Nice-to-haves • Interpersonal Communication • Office Equipment • Oral Communications • Organizational Savvy • Prioritization • Workplace Diversity • Written Communication Benefits • Up to 22 days of vacation, 10 recognized holidays, and sick time. • Competitive health insurance packages with priority appointments and lower copays/coinsurance. • Take advantage of our free Metro transit U-Pass for eligible employees. • WashU provides eligible employees with a defined contribution (403(b)) Retirement Savings Plan, which combines employee contributions and university contributions starting at 7%. • Wellness challenges, annual health screenings, mental health resources, mindfulness programs and courses, employee assistance program (EAP), financial resources, access to dietitians, and more! • We offer 4 weeks of caregiver leave to bond with your new child.
