Our company culture values innovation, teamwork, and customer satisfaction, and we are committed to creating a work environment that is both challenging and rewarding. **Job Summary** The Appointment Scheduler will report to the Appointment Scheduling Manager and will be responsible for providing exceptional customer service to new and established patients. This role requires a strong skillset in customer service, communication, and multitasking, as well as the ability to work effectively in a fast-paced environment. The successful candidate will be able to maintain accurate records, update necessary information, and troubleshoot potential conflicts with ease. **Key Responsibilities** * Answer phones within two rings and respond to patient communications via email, phone, or web submission * Schedule established and new patient appointments in accordance with physician templates and preferences * Request copies of imaging, lab reports, or sleep studies in accordance with chief complaint * Demonstrate proactive initiative by troubleshooting potential conflicts and directing to the correct department * Communicate with MAs and front office coordinators to ensure a smooth clinic flow * Enter patient demographics, pharmacy, and all insurance information accurately into their chart * Check voicemail messages and distribute appropriately * Handle referrals effectively and in regards to our policy and procedures * Schedule audio appointments when necessary * Use customer service principles and techniques to deal with patients calmly and pleasantly * Perform other duties as assigned by physicians, practice administrator, and/or management **Expectations** * Leadership / Communication Skills: + Excellent communication skills + Works well as a team + Independently driven to succeed + Assertively acts as a support to other staff members * Time Management / Responsiveness: + Reliable + Efficient & accurate reporting + Proactive problem-solving + Able to anticipate patient and team needs * Quality of Work: + Attention to detail + Thorough data entry + Document essential information for practice benefit + Good spelling and familiarity with medical terminology **Essential Qualifications** * Minimum one year customer service experience preferred * General working knowledge of office atmosphere and etiquette * Ability to maintain fast-paced office environment * Experience verifying insurance, working knowledge of deductibles, out-of-pockets, and coinsurance **Preferred Qualifications** * Experience working in a healthcare setting * Familiarity with medical terminology and coding * Proficiency in electronic medical records (EMRs) and practice management systems * Strong analytical and problem-solving skills **Skills and Competencies** * Excellent communication and interpersonal skills * Strong organizational and time management skills * Ability to multitask and prioritize tasks effectively * Proficiency in Microsoft Office and Google Suite * Familiarity with medical terminology and coding * Strong analytical and problem-solving skills **Career Growth Opportunities and Learning Benefits** At [Company Name], we are committed to providing our employees with opportunities for growth and development.
