Key Responsibilities As a Business Support / Data Entry Assistant at arenaflex, your responsibilities will be divided into three main areas: Administrative Support, Data Entry, and Additional Tasks. Below are some of the key responsibilities you will be expected to perform: Administrative Support (50%) Provide virtual executive assistance to senior management, including handling email and phone correspondence, and maintaining confidentiality and handling sensitive information. Schedule appointments, meetings, and events, and manage calendars, travel arrangements, and itineraries. Prepare and distribute meeting materials, agendas, and minutes, and ensure that all necessary documents are up-to-date and readily available. Maintain accurate and detailed records of all administrative activities, and provide reports and insights as needed. Develop and maintain a thorough understanding of our organization's policies and procedures, and ensure that all administrative tasks are performed in accordance with these guidelines. Provide exceptional customer service support, responding to inquiries and resolving issues in a timely and professional manner. Data Entry (30%) Accurately enter data into various software systems, including databases, spreadsheets, and records, and ensure data integrity, accuracy, and consistency. Perform data validation and reconciliation, and generate reports and provide insights as needed. Manage and maintain databases, spreadsheets, and records, and ensure that all data is up-to-date and readily available. Develop and maintain a thorough understanding of our organization's data management systems, and ensure that all data entry tasks are performed in accordance with these guidelines. Identify and report any data entry errors or discrepancies, and work with the team to resolve these issues in a timely and efficient manner. Additional Tasks (20%) Conduct research and provide information on various topics, including industry trends, market analysis, and competitor research. Develop and maintain documents, templates, and presentations, and ensure that all materials are up-to-date and readily available. Assist with project coordination and management, including scheduling meetings, tracking progress, and providing updates to stakeholders. Provide customer service support, responding to inquiries and resolving issues in a timely and professional manner. Perform other administrative tasks as needed, including filing, scanning, and data archiving. Requirements To be successful in this role, you will need to have the following skills and qualifications: 1+ years of executive assistant or administrative experience, preferably in a remote or virtual environment. Strong data entry skills with high accuracy, and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with Google Workspace (Gmail, Google Drive, Google Calendar), and experience with CRM software is an asset. Excellent communication, organizational, and time management skills, with the ability to work independently and collaboratively. Reliable internet connection and quiet workspace, with a strong attention to detail and problem-solving skills. Ability to maintain confidentiality and handle sensitive information, and a commitment to providing exceptional customer service support. Preferred Qualifications While not required, the following skills and qualifications are preferred: Experience with data analysis and reporting tools, and certification in administrative assistance or a related field. Knowledge of industry trends and best practices, and experience working in a fast-paced and dynamic environment. Strong analytical and problem-solving skills, with the ability to think critically and outside the box. Experience working with remote teams, and a commitment to ongoing learning and professional development.
