Experienced Customer Support Specialist for Will Call Operations – Delivering Exceptional Service and Ensuring Seamless Customer Experience

Job Overview In this critical role, you will be responsible for efficiently processing returns and credits, ensuring an exceptional experience for all customers. Your ability to handle customer inquiries with professionalism, accuracy, and urgency will be crucial in maintaining our high standards of customer satisfaction. Key Responsibilities Respond to customer requests for returns and credits via email and phone, ensuring timely and accurate resolution of all inquiries. Process returns and credit requests, including order entry for replacements, and maintain accurate records using required systems such as P21 and Salesforce. Check stock availability, track order and delivery status, and other necessary data to ensure seamless customer experience. Communicate with vendors, warehouse team, and Accounts Payable as necessary to process returns, following established procedures and protocols. Partner with suppliers to process direct returns to factory, ensuring efficient and cost-effective solutions. Issue credits as outlined by arenaflex internal procedures, maintaining consistency and fairness in all customer interactions. Create positive customer experiences through email, phone, and written communications, demonstrating empathy, professionalism, and a customer-focused approach. Will-Call Counter Support Service incoming customers with their various needs, including processing orders and returns, handling cases from work queues, and addressing any issues or concerns during the pickup process. Manage cases as assigned in Salesforce, including RMAs, credits, and customer inquiries, ensuring timely and effective resolution of all customer issues. Inter-Departmental Communication Work closely with the Contact Center teams to complete customer credit and return requests, generate replacement orders, and provide order status information, fostering a collaborative and supportive environment. Communicate with other departments within arenaflex as needed to answer questions and resolve customer issues, promoting a culture of transparency and open communication. Qualifications and Skills To be successful in this role, you will need to possess a combination of education, experience, and skills that demonstrate your ability to deliver exceptional customer support and work effectively in a fast-paced environment. Essential Qualifications: High School diploma or GED required. Associate degree or bachelor’s degree preferred. 3-5 years’ experience in customer service, preferably in the distribution industry. Preferred Qualifications: Experience with customer relationship management (CRM) systems, such as Salesforce. Knowledge of inventory management systems and procedures. Previous experience in a will-call or counter support role. Skills and Competencies: Customer Focus: Ability to build strong customer relationships, deliver customer-centric solutions, and ensure all inquiries are resolved quickly and accurately. Interpersonal Skills: Ability to interact, communicate, and build relationships with others. Verbal and written communication skills: Ability to clearly articulate and convey information and ideas in speaking and writing so others will understand. Empathy: Taking an active interest in the concerns of others through social awareness and relationship management, ensuring customer needs are met. Professionalism: Professional and pleasant speaking and writing manner via telephone, email, and in person, basic business acumen, and urgency in resolving customer issues. Technical Learning Capability: Proficient with or the ability to quickly learn an array of computer hardware and software.
