Key Responsibilities Oversee day-to-day operations of the office, including answering phones, responding to emails, managing incoming and outgoing correspondence, and managing service appointments Coordinate scheduling of technicians for service calls, installations, and repairs, ensuring that jobs are ready for scheduling and technicians have the ability to arrive on time Dispatch technicians to job sites in a timely and efficient manner, monitoring their schedules and adjusting as needed to accommodate emergencies or last-minute changes Serve as the point of contact for customer inquiries, scheduling appointments, and addressing concerns or complaints in a professional and courteous manner Ensure excellent customer service by promptly responding to customer inquiries and resolving issues in a timely and effective way Organize and maintain systems for documents, invoices, and client records, processing payments from customers and following up on overdue accounts as necessary Assist in setting up and implementation of ServiceTitan, our dispatching software, and provide support for the growth of the company through additional responsibilities as needed Essential Qualifications and Skills To be successful in this role, you'll need: Experience in dispatching, preferably in a similar industry such as plumbing, HVAC, or electrical services Proficiency in Google Suite, Slack, and dispatching software such as ServiceTitan Excellent time management skills, with the ability to multitask and prioritize work in a fast-paced environment Attention to detail and problem-solving skills, with the ability to think critically and make sound decisions Excellent communication skills, with the ability to communicate effectively with customers, suppliers, and team members Familiarity with plumbing/HVAC/service terminology, processes, and materials, which can be beneficial for understanding the business and communicating effectively with technicians and customers A clear background check, as we prioritize the safety and security of our customers and team members Preferred Qualifications While not required, the following qualifications are highly preferred: Previous experience in a customer-facing role, with a proven track record of providing exceptional customer service Experience working in a remote or virtual environment, with the ability to self-motivate and work independently Familiarity with other dispatching software or systems, which can be an asset in this role A strong understanding of the trades industry, including plumbing, HVAC, and electrical services Career Growth Opportunities and Learning Benefits At arenaflex, we're committed to helping our team members grow and develop their careers.
