About the Global Risk & Compliance Organization (GRC) The GRC is an independent risk management function that plays a critical role in ensuring American Express operates in a safe, sound, and fully compliant manner with all applicable regulatory expectations. Our team creates and maintains the overall risk management framework, performs independent risk management assessments, and monitors applicable risks. Operational Risk Management (ORM) Team Overview The ORM team is responsible for facilitating and monitoring the implementation of effective operational risk management programs throughout the organization. We oversee risk ownership throughout business units, products, and processes, ensuring that our company is well-equipped to manage and mitigate operational risks. As a key member of the ORM team, the Executive Assistant will provide administrative support to up to three VPs, ensuring the team's logistical needs are met and promoting a positive atmosphere and work culture. Key Responsibilities Organize and maintain complex calendars using a high level of tact, influencing, and integrity, including scheduling across multiple time zones Manage calendars, including scheduling meetings with various colleagues internally and externally Coordinate logistics for meetings, including scheduling of conference rooms and technology support, as required Book and coordinate travel arrangements, including air and hotel bookings Prepare, review, and process expense reports, in line with company T&E policy and budget Assist with timekeeping and payroll duties Provide coverage for other team-based Executive / Administrative Assistants that are on vacation or sick leave Handle organizational charts and team rosters Support the scheduling and coordination of events, including room booking, catering, etc. Support team administration, including onboarding of new hires, updating distribution lists, setting up team-wide meetings, coordinating team real estate, and assisting with job postings Process requisitions and other invoices, order supplies, and handle ticket requests Essential Qualifications To succeed in this role, you will need: Experience supporting senior-level executives with exceptional organizational, administrative, and interpersonal skills Keen attention to detail in execution and follow-up Demonstrated ability to prioritize multiple tasks and work independently in a dynamic and fast-paced environment, managing multiple tasks and changing priorities with little direction Strong integrity, reliability, and proven ability to handle confidential / critical information with discretion Strong written and verbal communication skills Proficiency in Microsoft Outlook, Word, and expense and travel management software Proficiency in Microsoft Office programs, such as PowerPoint and Excel, is preferred Preferred Qualifications While not essential, the following qualifications are desirable: Previous experience in a risk management or compliance environment Knowledge of operational risk management principles and practices Experience working with senior leaders and stakeholders Strong analytical and problem-solving skills Ability to work in a virtual environment and collaborate with remote teams Skills and Competencies To excel in this role, you will need to demonstrate the following skills and competencies: Exceptional organizational and administrative skills, with the ability to prioritize tasks and manage multiple projects simultaneously Strong communication and interpersonal skills, with the ability to build relationships with senior leaders and stakeholders Ability to work independently and as part of a team, with a strong sense of initiative and self-motivation Strong attention to detail and ability to maintain confidentiality and handle sensitive information with discretion Proficiency in Microsoft Office and other software applications, with the ability to learn new systems and technologies quickly Career Growth Opportunities and Learning Benefits At American Express, we are committed to helping our colleagues grow and develop in their careers.
