Job Overview We are looking for an experienced administrative assistant to provide virtual support to our Student Conferences and Programs team. As a remote part-time administrative assistant, you will be responsible for a range of administrative and staff support duties, including creating reports, conducting research, data entry, and communicating effectively with staff, customers, and vendors. Key Responsibilities Create reports, documents, and spreadsheets to support program planning and implementation Conduct research to gather information and data for program development and evaluation Perform data entry and consolidation to maintain accurate and up-to-date records Communicate effectively and professionally via phone and email with staff, customers, and vendors Complete operational tasks such as ordering supplies, booking vendors, and booking staff travel Schedule meetings as needed and ensure timely communication with team members Support with expense tracking and maintain accurate financial records Assist with maintaining staff hiring and onboarding processes, ensuring compliance with company policies and procedures Maintain strict staff and customer confidentiality, adhering to company confidentiality agreements and protocols Assist in program/event planning, including coordinating logistics, scheduling, and communication with stakeholders Perform other duties as assigned, demonstrating flexibility and adaptability in a fast-paced environment Requirements To be successful in this role, you will need to meet the following requirements: At least 1 year of experience as an administrative assistant or in a related position, demonstrating a strong understanding of administrative principles and practices High school diploma or GED, with a strong foundation in English, mathematics, and computer skills Strong computer literacy, with proficiency in Microsoft Office and Google Suite, including Word, Excel, PowerPoint, and Gmail Highly organized and detail-oriented, with excellent time management and prioritization skills Excellent written and verbal communication skills, with the ability to communicate effectively with diverse stakeholders Ability to manage and prioritize several projects and tasks simultaneously, meeting deadlines and delivering high-quality results Ability to work independently as well as part of a team, demonstrating flexibility and adaptability in a remote work environment Ability to work effectively and efficiently with limited supervision, taking initiative and demonstrating problem-solving skills Ability to easily learn new software platforms and technologies, staying up-to-date with industry trends and best practices Ability to handle confidential information with discretion, maintaining confidentiality agreements and protocols Preferred Qualifications While not required, the following qualifications are preferred: Experience working in a remote or virtual environment, with a strong understanding of remote work principles and practices Experience with event planning and coordination, including logistics, scheduling, and communication with stakeholders Experience with data analysis and reporting, including data visualization and presentation Experience with customer service and relations, including communication, conflict resolution, and issue management Certification in administrative assistance or a related field, demonstrating a commitment to professional development and continuous learning Skills and Competencies To be successful in this role, you will need to demonstrate the following skills and competencies: Strong administrative and organizational skills, with attention to detail and accuracy Excellent communication and interpersonal skills, with the ability to build strong relationships with stakeholders Ability to work independently and as part of a team, demonstrating flexibility and adaptability in a fast-paced environment Strong problem-solving and analytical skills, with the ability to think critically and creatively Ability to prioritize tasks and manage multiple projects simultaneously, meeting deadlines and delivering high-quality results Strong technical skills, including proficiency in Microsoft Office and Google Suite, with the ability to learn new software platforms and technologies Career Growth and Development At CE Tours, we are committed to providing our employees with opportunities for career growth and development.
