Job Overview We are seeking an experienced and skilled Virtual Assistant to join our team in Brazil, providing live chat and administrative support to our senior leaders and teams. As a Virtual Assistant at arenaflex, you will play a vital role in ensuring the smooth operation of our day-to-day activities, providing exceptional support, and contributing to the success of our organization. Key Responsibilities Assist with the execution and implementation of ad-hoc tasks and projects, driving continuous improvement across the team Support the organization and coordination of events, market visits, team meetings, and senior leader visits, ensuring seamless execution and attention to detail Aid in the onboarding process for new team members and internal movements, providing business guidance, call monitoring, equipment support, and access to necessary tools and resources Provide administrative support to senior leaders, including travel arrangements, calendar management, expense reporting, and coordination of meetings and follow-ups Manage schedule activities, coordinate conferences, and oversee logistical arrangements, including technical support, venue booking, catering services, and meeting materials Assist with key HR reporting and complex presentations, ensuring accuracy and attention to detail Offer additional support to senior leaders with administrative tasks, contract signature process management, and reviews and administration systems access for channels Essential Qualifications Fluency in English and Brazilian Portuguese, both written and spoken Previous experience in administrative support roles, preferably in a large organization Proven experience in interacting with senior leaders and providing exceptional support Strong attention to detail, organizational skills, and ability to prioritize tasks in a fast-paced environment Excellent interpersonal, relationship-building, and networking skills to maintain effective professional relationships across all areas of the organization High level of proficiency in MS Office (Excel, Access, and PowerPoint), with Salesforce experience being a plus Preferred Qualifications Previous experience in a virtual or remote work environment Familiarity with financial services or a related industry Experience with project management tools and software Strong analytical and problem-solving skills, with the ability to think critically and outside the box Career Growth Opportunities and Learning Benefits At arenaflex, we are committed to the growth and development of our employees.
