Role Overview As a Virtual Executive Assistant/Board Liaison, you will play a pivotal role in ensuring the smooth operation of our client's organization. Your primary responsibilities will include managing executive administrative tasks, coordinating with a diverse board of directors, and providing exceptional support to the Executive Director. Key Responsibilities Manage emails, respond to phone calls, and handle correspondence in a professional and timely manner. Schedule meetings, book travel arrangements, and make accommodations as needed, ensuring meticulous attention to detail and adherence to deadlines. Maintain and manage a comprehensive contact list, ensuring data accuracy and confidentiality. Oversee and manage projects from inception to completion, prioritizing tasks, and delivering high-quality results under minimal supervision. Prepare and maintain spreadsheets, online records, and other documents as required, demonstrating proficiency in Google Suite and other relevant tools. Organize and manage calendars, ensuring seamless coordination and minimizing conflicts. Conduct market research and create presentations as assigned, showcasing your ability to adapt to new tasks and responsibilities. Proactively address client concerns, providing exceptional customer service as the first point of contact. Take board meeting minutes, attend leadership meetings with the Executive Director, and disseminate applicable action items, demonstrating your ability to work effectively in a fast-paced environment. Essential Qualifications 3+ years of experience as an Executive Assistant or in a relevant role, with a proven track record of success in administrative support. Project management experience, with the ability to prioritize tasks, manage multiple projects, and meet deadlines. Non-profit experience, with a deep understanding of the unique challenges and opportunities faced by non-profit organizations. High school diploma required; additional qualifications as an Administrator or Executive Assistant are highly desirable. Previous experience assisting C-Suite executives or Executive Directors in a non-profit setting is highly preferred. Preferred Qualifications Experience working with boards and non-profit clients, with a strong understanding of the importance of confidentiality, discretion, and professionalism. Availability for occasional travel to Washington (2-3 times per year), with the ability to adapt to changing circumstances and priorities. Familiarity with current technologies, including desktop sharing, cloud services, and VoIP, with a passion for learning new skills and platforms. Excellent phone, email, and instant messaging communication skills, with the ability to craft clear, concise, and compelling messages. Top-notch organizational skills, with the ability to prioritize tasks, manage multiple projects, and maintain meticulous records. Skills and Competencies Proven experience working remotely or in a relevant role, with the ability to excel in an autonomous environment. Familiarity with Google Suite, online calendars, and scheduling tools (e.g., Google Calendar, Calendly), with the ability to adapt to new technologies and systems. Excellent time management skills, with the ability to prioritize tasks, manage multiple projects, and meet deadlines. Passion for learning new skills and platforms, with a commitment to ongoing professional development and growth. Ability to work effectively in a fast-paced environment, with a strong focus on attention to detail, confidentiality, and discretion.
