Job Overview We are seeking an experienced Virtual Receptionist and Data Entry Clerk to join our administrative team. As a Virtual Receptionist and Data Entry Clerk, you will be responsible for providing exceptional support to our team, ensuring the smooth operation of our office, and delivering outstanding customer service to our clients and colleagues. This is a full-time, remote position that offers a unique opportunity to work with a dynamic and growing company. Key Responsibilities Maintain full knowledge of our IT department structure, including which leaders oversee each team. Sort, scan, and distribute mail and internal correspondences throughout our campus and satellite locations. Manage postage, mail accounts, and incoming and outgoing mail. Ensure office supplies and all common areas are stocked, clean, and organized. Set up IT meetings and remove setup once the meeting convenes. Create and replace ID badges for IT employees. Support coverage of the reception desk, including answering phones, directing visitors, issuing and deactivating employee and visitor badges. Perform all assigned tasks accurately, efficiently, and in accordance with applicable policies and procedures. Comply with arenaflex's privacy and security requirements and policies if job responsibilities include possible access to confidential and/or sensitive information. Other duties as assigned. Essential Qualifications To be successful in this role, you will need: A High School Diploma or GED required, or a combination of education and experience providing equivalent knowledge. Excellent verbal and written communication skills. Ability to prioritize and work under strict deadlines. Ability to work both independently and within a team environment. Ability to stay organized and multi-task efficiently. Ability to interpret and apply company policies and procedures. Proficient in Microsoft Office Suite. Proficiency in typing and data entry. Preferred Qualifications While not essential, the following qualifications are desirable: Previous experience in an administrative or receptionist role. Knowledge of IT department structures and operations. Experience with mail management and distribution. Familiarity with office equipment and software.
