Group Travel Operations Coordinator

• Operations Coordinator – Group International Travel Job Summary: We are seeking an experienced Operations Coordinator with a strong background in group international travel. This role works closely with the Company President/Owner to execute projects and manage multiple travel itineraries. The ideal candidate must be highly organized, detail-oriented, and proficient in travel logistics, budgeting, and contract negotiations. Key Responsibilities: Collaborate with the Company President/Owner to complete assigned projects. Trip Planning & Execution: Develop costing/budgeting per itinerary. Format, edit, and finalize trip itineraries. Manage multiple project timelines (from 1 month to 4 years out). Maintain detailed travel documents, including passenger lists, rooming lists, and final travel documents. Supplier & Contract Management: Source and secure quotes for hotels, transportation, and land services. Negotiate contracts with favorable payment and cancellation terms. Monitor and track contract payment deadlines and key milestones. Logistics & Coordination: Book early arrival/late departure accommodations and flights. Prepare Tour Manager and client travel documents. Maintain an up-to-date company calendar, including trip dates through 2028. Support trips on-site as needed. Work with IT to ensure website accuracy and maintain registration links. Technical & Administrative: Maintain an Operations Flow Chart for all trips. Ensure 100% accuracy in Microsoft Suite, Adobe Acrobat, and Google Workspace. Maintain confidentiality and uphold company standards. Requirements: Proven experience in group international travel operations. Strong negotiation skills and ability to secure competitive rates. Ability to organize and prioritize multiple projects efficiently. Exceptional written communication and customer service skills. Must work accurately and independently while following company protocols. Strict confidentiality regarding company business.
