Nonprofit Executive Assistant
Scion Staffing has been engaged to conduct an immediate search for an experienced Nonprofit Executive Assistant for our partner, a nonprofit supporting underserved communities in New York! This full-time, remote, temporary position is available for immediate hire!
The ideal candidate will be a proactive and highly organized professional with exceptional administrative and communication skills, capable of managing multiple priorities to support the organization in driving impactful programs and initiatives. They will seamlessly manage travel logistics, expense reporting, and departmental operations, and will thrive in a collaborative environment, demonstrating the ability to work effectively with diverse stakeholders while maintaining a problem-solving mindset.
What You Will Be Doing:
? Coordinate lodging, transportation, and scheduling logistics for leadership team.
? Prepare and submit expense reports.
? Manage department expenditures by processing invoices, tracking expense reports, and monitoring payment statuses.
? Support department events through planning and coordination tasks as needed.
? Organize and maintain online file systems for efficient document storage and retrieval.
? Handle administrative tasks, including copying, filing, managing deliveries, and arranging mail and overnight shipments.
? Order and manage office supplies to ensure adequate inventory levels.
? Schedule and facilitate virtual meetings using Teams or similar platforms.
? Collaborate with IT to maintain and troubleshoot software and applications.
What You Have to Offer:
? Proven progressive experience in executive administrative roles.
? Strong written and verbal communication skills.
? Highly organized, detail-oriented, and capable of managing multiple priorities without compromising quality.
? Proven ability to collaborate professionally with staff and stakeholders.
? Excellent interpersonal skills, with the ability to work both independently and as part of a team.
? Strong problem-solving skills, flexibility, and a proactive approach to working in a fast-paced, high-volume environment.
? Experience working with virtual teams and platforms such as MS Teams.
? Customer-focused mindset with a solution-oriented approach.
? Proficiency in Microsoft Office Suite, Adobe Acrobat, cloud-based file storage systems, Salesforce, and other common business tools like expense reporting software.
Compensation & Additional Details
This temporary position offers a compensation of $40-45/hour DOE. In addition, this role offers medical, dental, vision, and voluntary life insurance, an employee assistance plan (EAP), and commuter and transit benefits for those who are working on average 30 or more hours per week. An employee retirement plan is also available.
