The Online BSBA Senior Academic Advisor & Graduate ProgramsAssistant (Self-Support Programs) provides comprehensive academicadvising for the Online BSBA Self Support Program and programcoordination support for the Self Support Graduate Programs withinthe College of Business & Economics (CBE). The position servesas a main advisor for Online BSBA students, assisting with academicplanning, course progression, graduation eligibility, and degreecompletion. In addition, the incumbent supports Self Support Graduate Programsthrough administrative coordination, including processing degreechecks, preparing graduate capstone completion memos, andsubmitting degree audit updates. This role requires closecollaboration with faculty, department chairs, programcoordinators, and University Extension, and campus administrativeoffices to ensure effective program delivery, data accuracy, andhigh-quality student support. Responsibilities Online BSBA Academic Advising Provide comprehensive academic advising to Online BSBA SelfSupport students on major requirements, GE, and universitypolicies. Assist students with course selection, registration, petitions,and degree progress tracking. Identify students experiencing academic difficulties anddevelop individualized plans for success. Evaluate transfer, test, and military credits for degreeapplicability and ensure approvals are recorded accurately. Conduct final major/minor checks and determine graduationeligibility for Online BSBA students. Utilize advising systems (Bay Advisor, degree planning tools,PeopleSoft) for degree tracking and proactive studentoutreach. Respond promptly to student inquiries via email, phone, andvirtual advising platforms. Collaborate with University Extension and the Student Support& Success Coordinator on advising processes, registrationcampaigns, and retention efforts. Maintain adherence to FERPA and ethical advising standards inall student interactions. Student Resources and Academic Support Advise students and faculty on course articulation and transfercredit evaluation processes. Collaborate with advisors, faculty, and the ArticulationOfficer to ensure accurate use of the Transfer Equivalency System(TES). Serve as liaison with the Study Abroad Office, departmentchairs, and program coordinators to review international coursematerials and determine transfer applicability. Maintain and update advising and program materials such asgraduation checklists, orientation guides, and academicresources. Assist in training staff and advisors on academic policies andprocedures. Contribute to the accessibility and accuracy of academicresources to enhance student success and retention. Self-Support Graduate Program Coordination Provide administrative coordination for Self-Support GraduatePrograms. Collaborate with University Extension, department chairs,Graduate Program Coordinators, and Enrollment Services to manageprocesses and student records. Assist with processing degree checks, preparing graduatecapstone completion memos, and submitting update requests forDegree Audit Reports (DARs). Maintain graduate program documentation, advising guides, andelectronic forms. Support program planning and scheduling efforts based onenrollment needs and student feedback. Provide administrative and communication support to graduatecoordinators and faculty. Meetings and Professional Development Participate in college and university committees, workinggroups, and events representing CBE and its self-supportprograms. Meet regularly with the Student Support & Successleadership to follow up on projects and initiatives. Collaborate with Academic Affairs, Student Affairs, StatesideCollege of Business & Economics Advising Offices, and ExtendedEducation partners to enhance student services and advisingefficiency. Attend conferences, workshops, and trainings on advising bestpractices and self-support program coordination. Contribute to continuous improvement and innovation in advisingand program management. Minimum Qualifications Knowledge and Abilities Thorough knowledge of the principles of individual and groupbehavior. General knowledge of the principles, practices and trendsof the Student Services field as well as general knowledge of thepolicies, procedures and practices of the program area to whichassigned; general knowledge of individual counseling techniques;general knowledge, or the ability to rapidly acquire suchknowledge, of the organizational procedures and activities of thespecific campus to which the position is assigned. Workingknowledge of student services programs outside the program to whichimmediately assigned. Ability to analyze complex situations accurately and adopteffective courses of action; advise students individually and ingroups on complex student-related matters; determine appropriatecourses of action and proper techniques to utilize while engagedwith individuals in personal interactions of an argumentative orsensitive nature; interpret and evaluate descriptions andexplanations of problems brought forward by individuals or studentorganizations, analyze and define the problem, draw validconclusions and project consequences of various alternative coursesof action; carry out a variety of professionally complexassignments without detailed instructions; and establish andmaintain cooperative working relationships with a variety ofindividuals. Experience Possession of these knowledge and abilities is typicallydemonstrated through the equivalent of three years of progressivelyresponsible professional student services work experience. One yearin the program area to which assigned may be preferred but is notrequired. A master's degree in Counseling, Clinical Psychology,Social Work, or a directly related field may be substituted for oneyear of experience. A doctorate degree and the appropriateinternship or clinical training in counseling or guidance may besubstituted for the three years of experience for positions with amajor responsibility for professional career or personalcounseling. Education Equivalent to graduation from a four-year college or universityin a related field, including or supplemented by upper division orgraduate coursework in counseling techniques, interviewing, andconflict resolution where such are job-related. Required Qualifications Knowledge and Abilities Knowledge of student success and academic advising bestpractices in higher education. Strong understanding of online and self-support programstructures, policies, and coordination requirements. Ability to interpret and apply academic and administrativepolicies related to degree requirements, transfer credit, andgraduation evaluation. Familiarity with graduate program processes, including degreecheck, capstone completion, and audit documentation. Excellent communication, organizational, and problem-solvingskills. Ability to collaborate effectively with faculty, staff, andadministrators across multiple units. Proficiency in PeopleSoft, EAB Navigate, TES, and relatedsystems, as well as Microsoft and Google applications. Attention to detail, strong analytical skills, and ability tomanage multiple projects simultaneously. Commitment to diversity, equity, inclusion, and holisticstudent success. Equipment Used Standard office equipment and software including PeopleSoft,EAB, Adobe Sign, CSU Student Success Dashboard, andGoogle/Microsoft Office Suites. Education and Experience Bachelor's degree (or equivalent professional experience) andthree years of progressively responsible experience in studentservices or a related field. Master's degree in a relevant area may substitute for one yearof required experience. Physical/ Environmental Conditions Ability to sit or stand for extended periods. Occasionalevening and weekend work required for events and programsupport.
