Quality Assurance Specialist – Part Time The Role A detail-oriented, analytically minded, and technology-savvy individual is needed to join our team as a Grant Quality Assurance (QA) Specialist primarily focused on Small Business Innovation Research (SBIR) and Small Business Technology Transfer (STTR) applications. This part-time position plays a vital role in ensuring proposal packages meet federal compliance standards, are error-free, and include accurate and consistent budgets and other documentation. The role will require fast-paced work in short windows three times a year and a substantial time commitment during these times. Job Title: Grant Quality Assurance Specialist Status Part-Time, Contractor role, with a paid fixed amount for each deliverable. Location US-wide eligible Core Responsibilities: • Review SBIR/STTR proposals for accuracy, completeness, and compliance with solicitation-specific guidelines (e.g., NIH, NSF, DoD, USDA). • Conduct detailed quality control checks on all included proposal materials. • Verify compliance with all formatting, structure, and document requirements, including font, spacing, page limits, and naming conventions. • Evaluate budgets for mathematical accuracy, consistency with the project scope, and adherence to sponsor guidelines, identifying potential issues or inconsistencies. • Cross-check all uploaded and supporting documents for alignment with solicitation requirements, ensuring completeness of required forms, attachments, and certifications. • Confirm that all tables, figures, and references are correctly numbered and referenced throughout. • Test and verify that existing URLs or hyperlinks do not violate agency and grant guidelines. • Collaborate with Internal Submission Team to ensure rapid, high-quality turnarounds prior to submission deadlines. • Manage multiple concurrent projects and deliverables within tight submission windows, primarily during peak cycles (end of August, December, and March). Required Qualifications: • Exceptional attention to detail and accuracy in reviewing technical documents. • Strong understanding of SBIR/STTR proposal requirements, or willingness to learn quickly through provided training. • Proficiency in Microsoft Word, Excel, and Dropbox, including advanced use of Track Changes and document markup features. • Experience reviewing grant budgets and justifications, with the ability to identify numerical or categorical discrepancies. • Excellent written and verbal communication skills. • Strong organizational and time-management skills with an ability to meet tight deadlines. • Ability to maintain objectivity and consistency, respecting the stylistic choices of original writers.
