Virtual Assistant – Physical Therapy Private Practice

Part-Time | Fully Remote | 15 hours/week We are an outpatient physical therapy private practice looking for a reliable, organized, and proactive Virtual Assistant to join our team. This is a long-term, part-time role that offers schedule flexibility while providing essential support to our Managing Director and clinical team. Key Responsibilities - Manage the Managing Director’s calendar, schedule appointments, and send reminders - Handle inbound emails, phone calls, and patient inquiries - Assist with insurance verification, prior authorizations, and benefits checks - Coordinate patient scheduling and clinician availability changes - Maintain and update patient records in our EMR system (training provided) - Manage HIPAA-compliant document storage and file organization - Other administrative tasks as needed • *Schedule & Compensation** - 15 hours per week (flexible scheduling, primarily weekday business hours U.S. time zones) - 100% remote / work-from-home • *Requirements** - Proven experience as a virtual assistant, administrative assistant, or medical office administrator (physical therapy or healthcare experience strongly preferred) - Excellent written and verbal English communication skills - Strong organizational skills and attention to detail - Tech-savvy: comfortable with Microsoft Office, EMR/EHR systems, scheduling tools (Calendly/Acuity), and QuickBooks - Reliable high-speed internet and a quiet, professional home office setup - Ability to maintain strict confidentiality and HIPAA compliance - Must be able to sign a Business Associate Agreement (BAA) – this is non-negotiable - Available to overlap at least 3–4 hours per day with U.S. Eastern or Central Time business hours - U.S.-based or legally authorized to work in the U.S. strongly preferred (for payroll and compliance reasons) • *Bonus Qualifications** - Experience with Jane App, WebPT, Therabill, Spruce Health, or similar PT-specific software - Familiarity with medical billing terminology and insurance processes - Basic graphic design or Canva skills for occasional marketing materials This is a 1099 contractor position with opportunity to grow hours and responsibilities as the practice expands. • *How to Apply** Please email your resume and a brief cover letter to [insert email] with the subject line “Virtual Assistant Application – [Your Name]”.
