Key Responsibilities As an Executive Assistant to our Managing Partners, you will be responsible for a wide range of administrative, project management, and relationship-building tasks. Your key responsibilities will include: Providing general administrative support, including managing appointment calendars, daily schedules, expense reports, and coordinating travel arrangements Proof-reading and drafting internally and externally facing documents, ensuring high-quality content and presentation Prioritizing incoming internal and external requests, ensuring timely and effective responses Supporting the administrative team in planning and coordinating firm-wide events and activities Attending meetings, taking notes, and organizing follow-up actions to ensure seamless execution Managing special projects or initiatives on behalf of the Managing Partners, demonstrating your ability to lead and deliver results Coordinating the creation and review of relevant materials for company meetings, ensuring all stakeholders are well-prepared Facilitating internal and external meetings, greeting guests, and managing daily schedules to ensure a smooth and professional experience Coordinating briefing materials for partners prior to meetings, managing follow-up actions, and ensuring all necessary information is readily available Assisting partners in prioritizing team requests and time management for deadlines, demonstrating your ability to work independently and collaboratively Essential Qualifications To be successful in this role, you will need to possess the following essential qualifications: At least 2 years of relevant administrative support experience, preferably in a fast-paced and collaborative environment Detail-oriented, able to multi-task, and comfortable leading project and process management Exceptional verbal, listening, writing, and editing communication skills, with the ability to craft high-quality documents and presentations Proficient with Microsoft Office, including PowerPoint, Excel, Word, and other similar software Strong writing and presentation skills, with the ability to adapt to different audiences and stakeholders Able to work independently and collaboratively with executives, senior staff, and team members Discretion in handling sensitive information, demonstrating your ability to maintain confidentiality and professionalism Preferred Qualifications While not essential, the following preferred qualifications will be highly regarded: Experience working in a creative, content, or advertising agency, or a similar industry Familiarity with project management tools and software, such as Asana, Trello, or Basecamp Experience with event planning and coordination, including firm-wide events and activities Knowledge of social media platforms and content management systems Fluency in multiple languages, demonstrating your ability to communicate effectively with diverse stakeholders Skills and Competencies To excel in this role, you will need to possess the following skills and competencies: Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously Strong communication and interpersonal skills, with the ability to build relationships with clients, team members, and stakeholders Ability to work in a fast-paced environment, demonstrating your ability to adapt to changing priorities and deadlines Strong problem-solving and analytical skills, with the ability to think critically and creatively Ability to maintain confidentiality and handle sensitive information with discretion and professionalism Career Growth Opportunities and Learning Benefits At Avoq, we are committed to providing our team members with opportunities for growth, development, and learning. Compensation, Perks, and Benefits We offer a competitive salary range of $50,000 - $75,000, depending on experience and qualifications.
