Job Summary In this critical role, you will be responsible for responding to all guest inquiries and questions in a timely and accurate manner, ensuring that our guests receive the best possible experience from initial inquiry to check-out. You will utilize platforms such as Airbnb, VRBO, and OwnerRez to manage guest communications, and work closely with our internal team to ensure seamless coordination and exceptional service delivery. Key Responsibilities Respond to all guest inquiries and questions within 15 minutes with 95% accuracy and within an hour with 100% accuracy, 24 hours a day, 7 days a week. Utilize Airbnb, VRBO, and OwnerRez to respond to guest inquiries sent through these platforms, and respond to website inquiries with pricing and schedule calls with internal team members as needed. Collect and document guest and inquiry data in an Excel spreadsheet, tracking the number of inquiries and conversion rates across all platforms. Screen and schedule guest and prospective guest phone calls for internal team members, avoiding phone calls unless absolutely necessary and instead responding by text, email, or messaging. Conduct guest vetting to ensure that guests are properly vetted prior to booking, including checking for low review scores, history of complaints, attempts to hold events at the property, and age restrictions. Collaborate with internal team members to create and implement cleaning and maintenance protocols, ensuring that all team members are aware of cleaning status and can deploy maintenance staff as needed. Perform recurring tasks such as updating calendars to help improve search rankings and support the growth of our short term rental business. Essential Qualifications High school diploma or equivalent required; degree in Hospitality, Customer Service, or related field preferred. Minimum 2 years of experience in customer service, hospitality, or a related field, with a proven track record of delivering exceptional customer experiences. Excellent communication and interpersonal skills, with the ability to respond to guest inquiries in a timely and accurate manner. Strong problem-solving and conflict resolution skills, with the ability to think critically and outside the box. Proficiency in using Airbnb, VRBO, and OwnerRez, as well as Microsoft Office and Excel. Ability to work in a fast-paced environment, prioritizing multiple tasks and managing time effectively. Preferred Qualifications Experience working in the short term rental industry, with knowledge of industry trends and best practices. Familiarity with customer service software and technology, including helpdesk and ticketing systems. Bi-lingual or multi-lingual skills, with the ability to communicate with guests from diverse backgrounds. Experience with data analysis and reporting, with the ability to track and measure key performance indicators.
