Job Overview We are looking for an experienced Virtual Assistant to provide live chat support and administrative assistance to our senior leaders and teams in Brazil. As a Virtual Assistant, you will be responsible for handling a wide range of tasks, from executing ad-hoc projects and providing ongoing improvement across the team to supporting the organization and coordination of events, market visits, and team meetings. Your exceptional communication skills, attention to detail, and ability to work in a fast-paced environment will be essential in delivering high-quality support to our leaders and teams. Key Responsibilities Assist with the execution and implementation of ad-hoc projects and convey continuous improvement across the team Support the organization and coordination of events, market visits, team meetings, and Municipal centers, including calendarization and logistics Aid senior leaders with the onboarding process for new team members and internal developments, including business direct and call monitoring, equipment, access, and support Provide administrative support to senior leaders, including travel arrangements, schedule organization, and expense report management Manage calendar activities and coordination, including oversight of conferences, making necessary arrangements, and ensuring timely execution Support key HR reporting and complex presentations Offer additional support to senior leaders with administrative tasks, contract signature process management, and reviews and administration systems access for channels Essential Qualifications To be successful in this role, you will need to possess the following essential qualifications: Fluency in English and Brazilian Portuguese, both written and spoken Administrative support experience in a large organization, preferably in a similar role Experience interacting directly with senior leaders and providing high-quality support Key attention to detail and organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously Excellent interpersonal, relationship-building, and networking skills to establish and maintain effective professional relationships across all areas of the organization Strong communication skills, with the ability to work collaboratively in a unique and fast-paced environment High level of proficiency using MS Office (Excel, Access, and PowerPoint), with Salesforce experience being a plus Preferred Qualifications While not essential, the following qualifications are highly desirable: Previous experience working in a virtual or remote environment Familiarity with financial services or a related industry Experience with customer service or live chat support Knowledge of Brazilian labor laws and regulations Career Growth Opportunities and Learning Benefits At arenaflex, we are committed to the growth and development of our employees.
