Project Representative - West Coast

They are seeking a Project Representative to provide essential support to the sales team and clients on commercial projects, enhancing the team's ability to meet sales targets and improve the overall customer purchasing experience. Responsibilities Cultivate and maintain strong relationships with top designers, luxury showrooms, and sales teams, delivering exceptional service Provide expert product knowledge to assist clients confidently and accurately Handle inquiries, troubleshoot issues, and resolve concerns for designers, architects, and installers Manage orders, coordinate shipments, and track logistics to ensure timely delivery Process payments, create packing lists, and handle returns or replacements efficiently Perform meticulous data entry and ensure accurate CRM documentation Assist clients with web account setup, order processing, and pricing quotes Identify cross-selling opportunities and make proactive outbound calls for sales follow-ups Act as the main connection of support to Phillip Jeffries HQ for assigned territories, including the contract sales team, dual reps, and partner showrooms Coordinate sample orders for assigned territories while reps are on the road Review client contracts to ensure the requested product aligns with requirements Foster a collaborative team environment, offering support to colleagues and departments Collaborate with sales reps and clients to align on project timelines, goals, and execution Manage the full project life cycle, ensuring deadlines for approvals, meetings, and onsite needs are met Serve as the liaison between departments, tracking progress, updating CRM records, and resolving potential issues proactively Maintain organized project documentation, ensuring all necessary details are available in CRM and Contract Folders Provide proactive follow-up on quotes before expiration and ensure accurate pricing coordination Regularly communicate with sales reps to review and update project statuses Skills Location preference for the West Coast or availability to work from 8:30 AM–5:30 PM PST Minimum of 1 year of experience in a customer service or sales support role Ability to build strong relationships with sales representatives and clients Exceptional communication skills, both written and verbal, with an outstanding phone manner Demonstrated ability to multitask and effectively prioritize tasks in a fast-paced environment Proactive problem-solving approach, utilizing analytical skills to identify and resolve issues efficiently Excellent time management and follow-up abilities Proficient computer skills, including data management, Microsoft Word, and Excel Benefits Sales Support Quarterly Bonus Plan Annual bonus opportunity to reward your performance Cost of Living increases that honor your growth and commitment Generous retirement plan with an automatic company contribution of approximately 10 percent with no employee match required Comprehensive medical coverage with employee premiums as low as $40 per month Coverage options for spouse, domestic partner, civil union partner, and family Health Reimbursement Account (HRA) to offset medical expenses Prescription, dental, and vision coverage to support whole-person wellness Flexible Spending Accounts (FSAs) for healthcare and dependent care Employee Assistance Program that supports your mental, financial, and physical well-being Pet insurance for your four-legged companions 16 paid personal days each year to relax, recharge, or travel Paid holidays including New Year’s Day, Martin Luther King Jr. Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, the day after Thanksgiving, Christmas Eve, Christmas Day, and New Year’s Eve Additional paid time off during our annual company closure between Christmas and New Year’s Earn extra paid time off by completing your annual wellness physical Up to three paid days each year to give back through volunteer work Structured onboarding with clear 30, 60, and 90-day milestones and continued training for long-term success Exclusive employee discount on Phillip Jeffries wallcoverings to elevate your home Access to Working Advantage with discounts on travel, entertainment, and everyday purchases Company Overview Phillip Jeffries Ltd is a design company specializing in grasscloth wallcovering and natural wallcovering services.
