Your expertise in efficiently scheduling work orders, managing technician schedules, and ensuring timely arrivals will be invaluable to our team. Key Responsibilities Oversee day-to-day operations of the remote office, including answering phones, responding to emails, managing incoming and outgoing correspondence, and managing service appointments Coordinate scheduling of technicians for service calls, installations, and repairs, utilizing your expertise in dispatching software such as ServiceTitan Dispatch technicians to job sites in a timely and efficient manner, ensuring minimal delays and maximum customer satisfaction Monitor technician schedules and adjust as needed to accommodate emergencies or last-minute changes, demonstrating your ability to think critically and adapt to changing circumstances Serve as the primary point of contact for customer inquiries, scheduling appointments, and addressing concerns or complaints, providing exceptional customer service and resolving issues in a professional manner Organize and maintain systems for documents, invoices, and client records, ensuring accuracy and attention to detail Process payments from customers and follow up on overdue accounts as necessary, demonstrating your ability to manage financial transactions and communicate effectively with customers Assist in setting up and implementation of ServiceTitan, leveraging your technical skills and knowledge of dispatching software Additional responsibilities to support the growth of arenaflex, including contributing to process improvements, providing feedback, and participating in training and development opportunities Essential Qualifications To be successful in this role, you will need to possess the following essential qualifications: Experience in dispatching, preferably in a similar industry such as plumbing, HVAC, or electrical services Proficiency in Google Suite, Slack, and dispatching software such as ServiceTitan Excellent time management skills, with the ability to multitask, prioritize work, and manage competing demands Attention to detail and problem-solving skills, with the ability to think critically and adapt to changing circumstances Excellent communication skills, with the ability to communicate effectively with customers, suppliers, and team members Familiarity with plumbing/HVAC/service terminology, processes, and materials, which can be beneficial for understanding the business and communicating effectively with technicians and customers Must have a clear background check, demonstrating your integrity and trustworthiness Preferred Qualifications While not essential, the following preferred qualifications will be highly regarded: Previous experience in a customer-facing role, with a proven track record of providing exceptional customer service Experience working in a remote or virtual environment, with the ability to self-motivate and manage your time effectively Knowledge of industry-specific software and systems, such as ServiceTitan, and the ability to quickly learn new technologies Certifications or training in customer service, dispatching, or a related field, demonstrating your commitment to ongoing learning and professional development Career Growth Opportunities and Learning Benefits At arenaflex, we are committed to supporting the growth and development of our employees.
